Job summary
We are looking for a skilled,
part-time, Care Navigator/Receptionist to work 23.5 hours per week. Previous primary care/GP surgery experience
preferred; we will also consider applicants with relevant transferable skills.
This position is conditional
upon flexibility for leave/absence cover. The Practice uses SystmOne clinical
system and training is available for users of equivalent systems.
Main duties of the job
We are looking for individuals
who feel that they can quickly settle into the Practice incorporating their
skills into our very busy GP surgery.
Front of house role managing a
busy switchboard, booking appointments, liaising with Patients, Doctors,
Pharmacists, Nurses, hospitals and other professional bodies. You will communicate
with patients verbally, face to face and electronically whilst dealing with
incoming emails and any other ad hoc administrative duties.

We are a friendly and hard working team across two sites, providing patient care for c.28,000 patients in LS16/18 and we are also part of the Woodsley and Holt Park PCN.
As Care Navigator/Receptionist you will become part of a team of 10, as well as the practice wider admin and clinical team consisting of Doctors, Nurses and Healthcare Assistants.
Full time equivalent annual
leave entitlement is five weeks, plus eight bank holidays per annum. The Practice also
runs the NHS contributory pension scheme.

Job responsibilities
The position holder will be the focal point of communication between the patients, doctors and other clinical and non-clinical staff. This encompasses dealing with incoming calls from external organisations, the general public and patients; dealing with queries, appointments and reception desk cover. The role also has responsibility for dealing with incoming post, prescriptions, scanning, GP liaison and instructions. The role will provide cover for absent colleagues and will be required to cover both Ireland Wood and Horsforth sites at times when required.
- Ensure that confidentiality is maintained at all times, with a duty not to disclose any confidential information after the employment ends.
- Receive incoming calls; deal with enquiries; - (see below**) book appointments; record in patient notes any messages and pass on to the appropriate doctor; take requests for home visits.
- Receive patients at the reception desk, marking their arrival on the computer, make appointments as requested, hand out prescriptions and deal with any queries that may arise.
- Process all repeat prescription request made by patients or on their behalf. Ensure that any request for delivery is handed to the chemist.
- Carry out the partners instructions and requests.
- All staff are required to take their share in providing cover, when necessary, for colleagues who may be absent as a result of holidays or illness and will cover both Ireland Wood and New Croft Surgeries. This is a mandatory requirement of the Care Navigator/Receptionists role.
- Open and distribute all incoming mail to the appropriate doctors and clinical staff. Prepare outgoing mail ensuring it is correctly labeled and franked where appropriate.
- Opening/closing the building as and when necessary, ensuring the premises are secure.
- Maintain a smart appearance, (blouses are provided), and be helpful wherever possible.
- All staff should be conversant with and adhere to all written guidelines and protocols provided and available on the practice intra-net in particular: The Health and Safety Manual, the In-house Complaints Procedure, the Fire/Alarm Procedures and all protocols that relate to their specific role.
