We are looking for an Admin Assistant to join our practice to offer admin support to the Senior Management Team (SMT). The role is varied, fast paced and the priorities of the role can change quickly, so we are looking for someone who is both proactive and reactive. The Admin Assistant will play an integral role in ensuring the needs of the SMT are met.
The position is permanent, 31 hours per week and may involve traveling between two sites.
Main duties of the job
To assist the senior management team
with ad hoc projects e.g. QOF, Enhanced Services, IIF and CQC
Responsibility for administration and
content of the practice intranet to ensure practice administration files and
policies remain appropriately organised, up to date and easily accessible for
all staff accessing the intranet
Responsibility for the practice social
media and website page
To provide assistance with Patient Participation
Group (PPG) administration, attend the meetings every quarter, take minutes,
type up and distribute accordingly
To assist with staff training
arrangements and be responsible for the administration, updates and maintenance
of staff training records and database
To assist the HR & Operations Manager with various
personnel records, e.g. new starters/leavers, induction packs, annual/study
leave, vaccination status, Health & Safety and be responsible for the
administration, updates and maintenance of records and database
Plan and attend various practice
meetings, take minutes, type up and distribute accordingly
To record and maintain staff practice
lists e.g. surgery staff telephone/email lists etc
Liaise with
other members of the primary health care team, outside agencies as required
To undertake any other duties appropriate
with the position as directed by the SMT
