Job Summary
Our organisation is
currently looking to recruit a full time Medical Secretary, based at Trevelyan
House Surgery in Tooting.
We would like to
employ an enthusiastic and motivated individual to join our multi-disciplinary
team to provide a range of professional and first-rate support services to both
our patients and Clinical Team. The role will mainly be focused on managing and
monitoring Referrals, supporting Clinicians. The ideal candidate must possess
excellent communication skills, as well as ability to work autonomously within
a fast-paced environment. The Medical
Secretary must also have knowledge of medical terminology and be familiar with
computer systems and software commonly used in healthcare settings.
Key Competencies:
Main
responsibilities will be including, but no limited to:
Typing letters/reports and associated
documentation as required by Partners/Clinical Director
Liaising with external agencies such as
hospitals and community services to ensure referrals are processed efficiently
Maintain an accurate referrals database
mainly for TWR
Process referrals via ERS and email - make sure
to keep up to date with any changes
Scanning of patient-related documentation and
attaching scanned documents to patients healthcare records
Input data into patients healthcare records as
necessary
Assist with training of new staff
Ad-hoc duties when required by
Management/Partners
Manage all administrative queries as requested
Support all clinical staff with general
administrative tasks when needed
Requirements and
skills:
Excellent written and verbal skills
Calm and personable manner
Be computer literate with ability to pick up systems quickly
Excellent attention to details
Ability to work effectively in a hectic environment
Be confident and comfortable to work with multiple patients and
clinicians on a daily basis
Previous secretary experience is desirable, but not essential
Working
pattern:
Practice
opening hours are Monday to Friday 8am 8pm and Saturday 9am 5 pm.
Medical
Secretary working pattern will be:
Monday to Friday from 9am to 5pm with
additional 30 minutes unpaid lunch break.

Dependant on experience.

Working Environment:
Carry out routine checks to ensure your work station is clean and tidy
at the start and end of your shift.
Ensure all equipment in your work station is operational and up to date
and report any issues to your line manager.
Ensure that confidential patient information is stored and handled
according to protocol and report any concerns to your line manager.
Health & Safety:
Assist in promoting and maintaining your own and others health, safety
and security as defined in the Practice Health and Safety policy. Ensure that any hazards in your working area
are reported immediately to your line manager.
Confidentiality:
Ensure patient and practice information is kept confidential and secure
at all times, in accordance with the Information governance policy.

The post holder will participate in any training
programme implemented by the Practice as part of this employment, such training
to include:
Participation in an annual individual performance review, including
taking responsibility for maintaining a record of own personal and/or
professional development.
Taking responsibility for own development, learning and performance and
demonstrating skills and activities to others who are undertaking similar work.

Experience
Essential
A high standard of computer literacy and proficient in use of
IT systems and applications including Microsoft Office
Excellent verbal and written communication skills
Desirable
Proven administrative experience
Experience of the EMIS Web clinical system
Medical Secretary experience 1 year
Feedback:
To listen to feedback from patients and colleagues whether this be a
complaint, comment or compliment and if it cannot be dealt with immediately,
ensure it is reported immediately to the operations manager.
CQC (Care Quality Commission):
To
work within the guidelines set byCQC to ensure that the Practice is
safe,efficient andprovides the best possible care for patients.
To
offer suggestions to the operations manager on how we can improve, progress
anddevelop allprocesses relating to CQC.
Disclosure and Barring
Service Check:
This post is subject to the rehabilitation of
Offenders Act (Exceptions Order) 1975 and as such it will be for a submission
for Disclosure to be made to the Disclosure and Barring Service (formerly known
as CRB) to check for any previous criminal convictions.
