Job summary

We consistently review our teams needs, leading to internal restructuring and recruitment. Due to this, we now require an a full time receptionist to complete our team. The role is to be part of a fast paced, friendly team, and requires the candidates to work under pressure and have the ability to absorb regular changes. However, it is rewarding, varied and well supported by fellow colleagues and management team.

The role will be primarily front facing covering reception, answering inbound telephone calls and a variety of administrative duties.

Main duties of the job

Job description

  • Greet all patients on arrival to the practice or via telephone, signposting to services as required
  • To handle all face to face queries, seeking support as necessary
  • Make new and follow-up appointments according to our care navigation training
  • Register new patients, entering information onto the computer and completing the registration link process
  • Open mail and distribute as appropriate
  • Filing patient notes, letters and medical records
  • Support the practice by following up tasks sent from across the team that may include contacting patients by phone, text or letter
  • Undertake any other duties as instructed by management

About us

We are a large, friendly practice with onsite parking in the centre of Ossett, caring for over 22,000 patients. We strive to deliver a high level of patient care through innovative ways, working closely alongside other practices and external services.

We encourage communication and social mixing and training is a key focus in our teams. Although we are ideally looking for an experienced receptionist, any successful candidate would be provided with a 12 week induction to gain a full understanding of our procedures. Training includes a weekly reviewand all employees are part of a 'house' with a dedicated Partner to support with issues and be a point of contact outside the management team.

We appreciate delivering high quality care in a fast paced environment also needs to include some fun! We hold regular social events such as team nights out and evening meals, we regularly take part in Race for Life charity cake sales as well as dedicating time in our in house training to team building with egg hunts and sports days.

Key Responsibilities:

To be responsible for opening up the Reception area at 08.00am depending on shift patterns

Providing a reception service to patients at the practice, dealing with enquiries and supporting sometimes difficult and distressed patients

Ensuring messages are communicated to relevant personnel in a timely, accurate and efficient way. Taking repeat prescription requests and other documentation over the counter, using the correct forms and following procedures

Providing an effective and efficient reception service using the practices clinical computer system, making appointments, marking patients arrivals etc

Undertaking wide ranging administrative duties including registering patients, data entry, producing prescriptions, sorting post, filing, processing temporary residents, managing reminders and recalls etc

Deal sensitively with complaints from service users in accordance with the practices policies and procedures.

To be responsible for incoming mail from patients and hospital providers received over the counter

To be responsible for ordering patient transport when required and maintaining a clear record in line with practice policy

Maintaining absolute confidentiality at all times and being aware of practice policies
