Job summary

We are a large, innovative GP practice operating across four sites, and were looking for an ambitious, proactive, and organised individual to join our team as a Business Operational Lead.

Job Summary

The Deputy Business Operational Manager will provide day-to-day support to the Business Operations Manager. You will play a pivotal role in ensuring the smooth and compliant operation of a large, multi-site GP practice. Focusing on estates, environment, procurement, and compliance, you will support the Business Operational Manager in delivering a safe, efficient, and sustainable working environment.

This role requires a self-motivated, innovative, and dynamic individual capable of managing the efficient day-to-day running of a large multi-site GP practice while supporting the Business Operations Manager in achieving our objectives.

Key Responsibilities:

Operational Support

  • Act as a key point of contact for estates, environment, and compliance queries from staff (via Spiceworks) and external partners (MVP Estates email inbox)
  • Run MVPs seasonal vaccine campaigns working with the Business Operations Manager to organise clinics and resources, as required
  • Support the implementation of sustainability and environmental initiatives to improve the practices carbon footprint.
  • Work closely with clinical and administrative teams to ensure regular and accurate stocktakes of medical supplies, pharmaceuticals, consumables, and non-clinical items across all sites.
  • Identify efficiencies in purchasing opportunities to minimise duplication, reduce wastage, and ensure timely replenishment of stock, leveraging bulk purchasing and preferred supplier agreements where appropriate.
  • Maintain robust R&D (Receipt & Delivery)logs and audit trails for all stock movements, ensuring traceability and accountability from order to delivery and storage.
  • Identify any ordering patterns or stock usage etc to suggest potential cost savings and work with the Business Operational Manager to realise them.
  • Deputise for the Business Operational Manager as required, ensuring business continuity and effective communication across the practice

Compliance

  • Support the Business Operational Manager in ensuring full compliance with CQC, health & safety, fire safety, infection control, and other relevant regulations
  • Maintain up-to-date documentation, policies, and procedures; coordinate statutory inspections and remedial actions.
  • Ensure that MVP has completed risk assessments and action plans for fire, legionella, electrical and H&S working with the Business Operational manager to ensure that actions are completed on time and that Teamnet is updated with all relevant information.
  • Support the SMT in ensuring that all estates-related and a range of administration documents, as part of CQC preparation and ongoing compliance are in place and continually updated.

Estates and Environment

  • Undertake regular fire safety checks across all sites
  • Coordinate building maintenance, repairs, cleaning contracts, and security arrangements across multiple sites, ensuring timely resolution of issues.
  • Support the planning and delivery of minor works, refurbishments, and capital projects, liaising with contractors and external consultants as required.
  • Oversee the day-to-day management and maintenance of all practice premises, ensuring a safe, welcoming, and compliant environment for patients and staff.
  • Play a part in MVPs continuous improvement identifying ideas and opportunities to ensure MVP works to best practice guidance and created a safe and effective space for patients and staff.

People and Development

  • Support staff development, providing guidance and direction, as required.
  • Receive structured training and mentorship to develop line management skills, including staff supervision, appraisals, and team leadership.
  • Progress to line management of designated non-clinical teams within 12 months, supporting staff development and performance.

Other Duties

  • The Business Operational Lead may, from time to time, be asked to undertake other reasonable duties, with appropriate training. It is important that all members of staff are prepared to undertake additional or relinquish current duties to maintain service delivery to patients.
