Job summary

A successful GP Practice based in East Leeds is looking to appoint a part time receptionist to join our friendly team.

Total hours - 15 hours per week plus ad-hoc hours to cover sickness/annual leave

Days:   Monday, Thursday & Friday 

Times: 7.45am - 12.45pm 

Rate of pay £9.50 rising to £9.63 after probationary period.

Main Duties:-

Answering telephone

Booking appointments

Processing prescription requests

Responding to patient enquiries face to face / by phone

Administration tasks

Scanning / filing

Opening and distributing internal and external post

Requirement to take part in Target day training activities and staff meetings

Main duties of the job

Previous experience of working in a similar role would be beneficial. However, training will be provided for the right candidate.

The candidate must have excellent communications skills with the ability to interact at all levels. A depth of empathy and understanding with a friendly approach is essential.

The candidate must be IT literate and have attention to detail skills allowing improvement in workplace productivity, efficiency and performance.

The ideal candidate must be:

- reliableand approachable with a calm manner

- team player with a 'can do attitude'

- flexible to cover holidays / sickness

Job Summary

To be responsible for undertaking a wide range of reception duties and the provision of general support to the team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with team members and external agencies such as secondary care and community service providers. To participate in training and target events appropriate to the position.

As a training practice we try to instil the ethos of continual development in staff, clinical and non-clinical, and by updating staff skills as needed we try to maximise the skills base of our staff, improving the experience of patients and allowing staff to develop within their professional group.

Primary Responsibilities

The following are the core responsibilities of the receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Maintaining and monitoring the practice appointment system (System1)

b. Process appointments (F2F, telephone and e-requests)

c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

d. Signposting patients to the correct service

e. Initiating contact with and responding to, requests from patients, team members and external agencies

f. Read code data on systemone

g. Photocopy documentation as required

h. Data entry of new and temporary registrations and relevant patient information as required

i. Input data into the patients healthcare records as necessary

j. Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team

k. Manage all queries as necessary in an efficient manner

l. Carry out system searches as requested

m. Maintain a clean, tidy, effective working area at all times

n. Monitor and maintain the reception area and notice boards

o. Support all clinical staff with general tasks as requested

p. Action incoming post, emails as necessary

q. Scanning of patient related documentation and attaching scanned documents to patients healthcare records

r. As required, support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently

s. Any other relevant duties as required

t. Work as a team and be flexible

Secondary Responsibilities

In addition to the primary responsibilities, the receptionist may be requested to:

a. Partake in audit as directed by the audit lead

b. Support administrative staff

c. Provide cover for colleagues during staff absences

d. Participate in training events and attend meetings
