Job summary
Business Services Coordinator 25.5 hours per week (Wednesday to Friday)
We are looking to recruit a Business Services Coordinator to join or friendly, forward thinking practice, own transport essential.
We are looking for a motivated, enthusiastic individual with a positive friendly outlook.
Candidates must have a high level of organisational skills, be able prioritise a busy workload and be competent across a range of support functions including minute taking.
Knowledge of SystmOne would be an advantage.
The Business Services Coordinator will work under the direction of the Operations Manager & Managing Partner, striving to enhance a number of key systems in both clinical and administrative areas and support the Management Team in the effective administration and management of the practice.
Main duties of the job
- Rota administration for the practice team
- HR Administration and liaison with HR Specialist as required
- Practice Premises Coordinator
- Coordinate practice events
- Maintaining the website, social media, and practice intranet
- Ensuring practice policies and patient information is kept up to date
- To undertake a variety of administrative duties to assist the Executive and Clinical Teams
- Supporting the Managing Partner and Operations Manager as required with projects, systems, and procedures
- Supporting the Management Team in monitoring compliance with health and safety legislation, providing leadership and direction for staff
- Contributing to the implementation of an effective practice training programme for all staff
- Provide administrative support for compliance registers, supporting the Management Team, ensuring DBS checks are conducted
- Coordinating the practice diary, ensuring meetings are scheduled appropriately
- Coordinating internal and external meeting arrangements, preparing agendas and producing minutes for meetings
- Drafting of the practice newsletter on a quarterly basis
- Arranging PPG meetings, preparing agendas and producing minutes
- Liaise with the Operations Manager and Partners in the Managing Partners absence
- Assist with the recruitment of staff as requested by the Management Team
- Support the Management Team in the reviewing and updating practice policies and procedures
- Coordinate staff absences, maintaining an effective absence register
About us
Wallingbrook is situated in the town of Chulmleigh in purpose built premises. The Practice also has a branch surgery which is open every day in the village of Winkleigh. The practice serves a population of approximately 7300 patients in a rural area covering approximately 100 square miles. The practice holds a Personal Medical Services (PMS) contract providing primary care and dispensing services to its population.
We are a close knit team in a rural area led by a partnership of GPs and a Managing Partner. We are proud of our Practice and share a sense of vocation, working to the best of our ability to improve the health of the community and giving priority to those with the greatest clinical needs.
