Job summary

We are looking for someone who is an enthusiastic, hardworking and diligent to join our team. The role involves helping streamline the flow of clinical correspondence through the Practice to the most appropriate person/action, coding and actioning. This requires that all incoming letters/documents are processed safely and accurately in accordance with Practice Protocol.

Main duties of the job

Manage the entry of patient data from all types of correspondence.

Read, code, action and file all correspondence via Workflow on Docman and Emisweb systems.

Identify any key clinical data from correspondence, such as new diagnosis, BP recordings, smoking status, and action accordingly.

Help monitor incoming emails, and other administration duties.

Maintain Confidentiality at all times.

About us

We are a friendly Surgery with 4 GP Partners, 4 Salaried GP's, 2 ANP's, 3 Practice Nurses, 2 Health Care Assistants and Visiting Paramedics. We are also a training Practice and currently have 3 GP Trainees. We have approximately 9000 patients, who are supported by our admin and reception teams. We are also part of the Neston & Willaston PCN, providing outstanding services to the patients of Neston.

Our aim is to deliver the best possible healthcare to our patients and support one another in that process.

Job description

Job responsibilities

  • Open all incoming mail and workflow, code and action incoming patient documentation accurately, safely.
  • Ensuring letters from external sources are actioned accordingly.
  • Checking of data to ensure accuracy, identify key clinical data from correspondence, code and action.
  • Assist with other administrative duties, monitor emails, and Patchs
  • Good communication required with both external and internal Depts.
  • Ensure the clinical computer system is kept up to date with accurate details recorded.
  • Ensure accurate completion of all necessary documentation associated with patient health care.
  • Ensure collection and maintenance of statistical information required for regular and ad hoc reports.
  • Regular update of system reviews as required and attendance to training in this regard.
  • Regular update and awareness of read code changes.
  • Distribute general emails to appropriate members of the team.
  • Action EMIS and Docman tasks
  • Awareness of GP contract requirements.
  • To be involved in the training of new staff as delegated by the Partners or Practice Manager.
  • Attend and participate in practice meetings as required.
  • Attend mandatory and appropriate training as required.
  • Any other delegated duties considered appropriate to the post including photocopying, filing and scanning
