Job summary

Woodseats Medical Centre is looking for an enthusiastic, hard working people to join their Reception team.

This is a very varied role which requires excellent customer service and a willingness to learn.Previous applicants need not apply. 

Main duties of the job

  1. Handling a high volume of telephone calls
  2. Greeting patients
  3. Registering Patients
  4. Answering Telephone/Email Access
  5. Taking & Recording Verbal Messages
  6. Making Appointments at the Surgery and care navigation
  7. Recording Home Visit Requests
  8. Preparing Repeat Prescriptions
  9. Working Extended hours duties

Job description

Job responsibilities

  • To provide a high quality, professional reception and administrative service to patients, doctors, staff, colleagues, health service professionals and others
  • To act as the first point of contact for patients contacting the Practice and to portray the Practice in the highest possible professional basis
  • To ensure that enquiries from patients are efficiently and courteously handled to the mutual satisfaction of the practice and patients
  • Greet patients and visitors to the practice
  • Book in, amend and cancel patient appointment in line with practice appointments procedures ensuing optimum efficiency of the appointment system
  • Receive and accurately record requests for home visits, assessing urgency in accordance with the Practices protocols
  • Respond and/or redirect all patient and visitor requests accordingly
  • Explain practice arrangements and formal requirements to new patients and temporary residents, ensure procedures are completed
  • Registering new patients and temporary residents
  • Ensure reception and waiting areas are kept neat and tidy
  • Re-stocking of information leaflets, forms, sample bottles etc as appropriate
  • Answering incoming telephone calls, ensuring calls are documented and redirected accordingly
  • Undertake administration tasks as allocated by the Patient Services Manager
  • Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes)
  • Check emails on a daily basis
  • Regularly check tasks and notification on SystmOne

  • The post-holder must clearly understand the importance of maintaining patient and data confidentiality

Qualifications

Essential

  • GCSE English Language at grade C or above
  • GCSE Maths at grade C or above
  • Experience of Microsoft Office software including email
  • Experience of dealing with the public/patients

Desirable

  • Previous experience as a medical receptionist is desirable
  • NVQ level 2 in Admin or equivalent
  • Experience of SystmOne
  • Experience of working with the general public both face to face and on the telephone
  • Current clean driving licence
