Job summary

Long Stratton Medical Partnership is a rural practice based over 2 sites of Long Stratton and Newton Flotman with a patient list of around 11,500. We are looking to recruit a Receptionist to join our team supporting our 6 Partner GP's and 2 Salaried GP's with all areas of reception work. We are looking for someone with strong inter personnel skills, not necessarily with previous medical experience, but someone who is willing to learn. The reception role is diverse in nature, and can be pressurised so a good sense of humour, resilience, and a "can do" attitude are essential qualities. The ability to manage own workload and communicate effectively both in written form and orally are essential too. If this sounds like you then we would love to hear from you.

Main duties of the job

The role of the receptionist is a crucial link between our GP's, the patient population, other clinicians with a wide range of external bodies such as hospital trusts, solicitors, insurance companies and other health related services. The receptionist provides support through effective triaging of telephone calls, face to face queries and email. Being computer literate with all Microsoft Office packages, and being confident / competent with both telephone and face to face communication is essential.

About us

The reception team is made up of 9 receptionist's working a variety of hours to cover the opening hours of the surgery. The Reception Team reports into a Senior Receptionist for day to day queries. Workload is generated primarily by our 6 Partner and 2 Salaried GP's and a good working relationship with them is crucial. Job responsibilities

Job Summary:

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Job Responsibilities:

  • Provide an efficient, caring and understanding reception service to our patients and any other visitors to the practice.
  • Deal with all general enquiries, explain procedures and make new and follow-up appointments.
  • Ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  • Ensure that all new patients are registered onto the computer system promptly and accurately.
  • Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
  • Send via task messages requests for home visits, ensuring careful recording of all relevant details and following the surgery visit protocol.
  • Enter patient information on to the computer as required.

Provide holiday and sickness cover as requested. (the requirements of which are defined within your contract)

  • Make and serve refreshments, ensure the kitchen is kept clean and tidy and air and tidy the waiting room in turn with other staff.
  • Undertake any other additional duties appropriate to the post as requested by the Partners, Practice Manager and Senior Receptionist.
  • Registrations of new patients computer data entry and medical records.
  • Process patients change of address computer data and medical records (have knowledge of Practice area).
  • Deduction of patients that have moved out of the catchment area.
  • Patient Access setting up patients for online ordering of medication and booking appointments.
  • Periodically checking the fax to make sure it is operational and has an adequate paper supply before leaving in the evening.
  • Patient notes and correspondence:

Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to.

Ensure correspondence, reports, results etc are filed promptly and in the correct records using the surgery scanning procedure ensuring that all recent correspondence is available when patients are seen.

Ensure records are kept in good repair with all necessary information on the outside cover clearly visible.

  • Premises:

Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.

When last to leave at the end of the day, ensure that the building is totally secured, windows and blinds closed internal lights are off and the alarm activated. If cleaning staff on site arrange handover.
