Job summary

Urban Village Medical Practice is looking for an Administrator to join our Homeless Healthcare Team to help manage our day to day workload. If you are an experienced administrator with an interest in working with disadvantaged and marginalised people, then we want to hear from you!

Main duties of the job

Our small but busy Homeless Healthcare Team offers a comprehensive primary healthcare to people experiencing homelessness in the City - via our clinical van outreach sessions, at our Practice site, or as part of our hospital in reach team. We are looking for an experienced Administrator who can support us with every aspect of our day to day operations, sometimes directly liaising with patients but also supporting meetings, contract compliance and other day to day requirements.

Urban Village Medical Practice is a busy GP Practice based in the Ancoats area with approximately 13,000 registered patients. We are commissioned to provide specialist healthcare for people exepriencing homelessness and this post will be based within this team

Job description

Job responsibilities

To provide admin support for service meetings including team meetings, clinical meetings and MDT - agendas, virtual invites, room bookings, apologies etc

To undertake admin work required to support patients to be deducted (alongside reception supervisor) from the Practice list when they move on from homelessness

Collate and input data relating to service delivery to inform contract compliance and service governance with support from Service Manager

Admin support for clinical van bookings including keeping record of bookings, working with van driver regarding pre rental and post rental checks and invoicing

To open patient post and inform patients of same (with support from team as required)

Admin support for vaccination programmes including flu/covid and other PH outbreak as required

Answer phone and take message for team members and keep whereabouts board updated

Maintain clothes stock for hospital in reach team including ordering, requesting reimbursement from Big Change and keeping cupboard tidy.

Supporting clinical audit/governance work for the service including running existing searches on EMIS and working with Practice Data Manager to develop new searches where needed to support clinical priorities, inputting batch codes.

  • - Experience of working with vulnerable migrants, people
  • experiencing homelessness and other vulnerable groups in any capacity
  • - Experience of working in a primary care or other healthcare environment
  • - Experience of using EMIS clinical system
  • - Experience of interagency working in relation to adult safeguarding
  • - Experience of data collection and inputting

Knowledge

  • - Understanding of homelessness, including the reasons why people may experience homelessness

Desirable

  • Knowledge of the range of support on offer for people experiencing homelessness in the city

  • - Competent in the use of Microsoft Office packages including Word, Excel, Teams and email and internet use
  • - Excellent communication skills both written and verbal - able to pass on information to patients and agencies in a professional and compassionate way
