Job summary

Elmswood Surgery, Nottingham

We are looking for a Practice Manager who has the skills to efficiently run our Surgery, maintaining a happy and committed team. The role will involve working with the Partners regarding forthcoming changes in the NHS. Strong interpersonal, organisational and IT skills would be required. We look forward to applications from high motivated, independent and proactive people.

The post is full-time/part time (minimum 30 hours per week) and the salary is negotiable depending on qualifications and experience.

Informal discussions and visits are welcomed.

Elmswood Surgery is an established single site practice based in a health centre, providing primary care for Sherwood/Woodthorpe

Rated good by CQC in August 2016.

Experienced Clinical team comprising: six GP Partners, three Practice nurses and one HCA.

Established Non-clinical team consisting of 5 administrators/secretaries and 9 Reception team members

Responsibility for the smooth, efficient and profitable running of the practice, and maintaining a happy and committed team.

Also keeping the partners abreast of forthcoming changes in the NHS and giving them options for responding to change.

Job responsibilities:

Human resources

· Oversee the recruitment and retention of staff and provide a general personnel management service

· Ensure that all members of staff are legally and gainfully employed. Monitor skill-mix and deployment of staff

· Manage staffing levels within target budgets

· Evaluate, organise and oversee staff induction and training, and ensure that all staff are adequately trained to fulfil their role

· Implement effective staff appraisal and monitoring systems

· Support and mentor staff, both as individuals and as team members

· Implement effective systems for the resolution of disputes and grievances

· Keep abreast of changes in employment legislation

· Maintain up-to-date HR documentation (including job descriptions, employment contracts and employment policies)

Organisational

  • Convene meetings, prepare agendas and ensure distribution of minutes as necessary
  • Practice protocols and procedures, review and update as required
  • Ensure that Practice premises are properly maintained and cleaned, and that adequate fire prevention and security systems are in place
  • Manage the procurement of practice equipment, supplies and services within target budgets
  • Develop and review Health & Safety policies and procedures and keep abreast of current legislation
  • Arrange appropriate insurance cover
  • Ensure that the practice has adequate business continuity plans in place
  • Arrange appropriate maintenance for practice equipment

Finance and profitability

· Responsibility for the book-keeping, petty cash and other financial aspects of the practice, including payroll and NHS pension scheme arrangements

· Ensure that all income and expenditure due to or made by the practice is received or recorded in the accounts of the practice, and preparing financial reports for the partners.

Information technology

  • Responsibility for the computer system, including organising any maintenance and developments to the system.
  • Ensure compliance with Data Protection legislation.
  • Motivate, support and monitor staff in the use of IT; organise, oversee and evaluate IT training
  • Set targets and monitoring standards for data entry and data collection
  • Ensure that the practice has effective IT data security, back-up, maintenance and disaster recovery plans in place

· Responsibility for security, repairs, insurance and maintenance of premises, services and equipment.

· Ensuring that the practice complies with aspects of Health & Safety at Work (HASAW) legislation.

Patient services

· Implementing and maintaining systems to receive patient enquiries and suggestions, including oversight of the practice-based complaints procedure in conjunction with the relevant partner.

· Reviewing and updating the practice’s information leaflet/website, practice publicity and health education material.

· Oversee repeat prescribing systems

· Oversee an effective appointments systems

· Oversee Workflow and PKB processes

· Oversee surgery timetables, duty rotas and holiday cover

Future planning
