Job summary

Our practice management team now require additional administrative assistance to help support and maintain practice policies and standards of quality throughout the practice

Longton Health Centre are part of Ribble Medical Group Primary Care Network and as our teams take on additional clinical roles their workload needs increased administrative support within the practice

Main duties of the job

RESPONSIBLE FOR 

In house administrative and secretarial work for Practice Business Manager. 

Associated work including the updating of invoices via Quickbooks

Administration of insurance reports, subject access requests.

 Supporting with administration of and in house clinical referrals and the arranging of urgent hospital appointments including investigations etc

Job description

Job responsibilities

DUTIES AND RESPONSIBILITIES

· Ensure correct proformas are being used by GPs and these are saved correctly within shared files and drives

· Make best use of the Practice computer clinical system to ensure good communication and audit standards.

· Undertake queries on behalf of patients, establishing concerns and undertaking the task to resolve promptly, keeping the patient informed at all times.

· Highlighting to management team areas of improvement to service

· Record all data correctly on relevant spreadsheets, run clinical searches to ensure data quality standards met.

· Ensure all patients are seen within given week wait criteria, highlighting any areas of concern.

· Ensure all workstreams are completed within given target dates

· Accurately record and manage practice payments

· Record and update spending logs where appropriate

· Arrange and attend meetings where requested, take and transcribe accurate minutes and distribute as required – this includes practice meetings and protected education time sessions

· Be an effective member of the Practice team, supporting colleagues as required.

· Audio typing of GP correspondence, using a digital dictation system, to ensure that routine referral letters are workflowed efficiently, using the e-referral system as appropriate

· Effectively prioritising workloads to ensure timely completion of investigation requests i.e. x-ray, MRI requests, solicitor & insurance reports

· Accurate review and redaction of medical reports, liaising with patients regarding consent, arrangement of information gathering and generating invoices.

· Understanding of private income generation and attention to detail recording in appropriate ledgers such as petty cash / private fees.

· Attend to practice management secretarial needs within tight deadlines

· Ensure 2 week referrals are dealt with efficiently and promptly and contain all relevant information. Ensuring follow up processes are in place and adhered to ensuring appointments are made within a 2 week period.

· To keep up to date with changes in referral systems and new proformas by reading and absorbing e-mails sent to the practice.

· Take calls from patients processing administrative tasks, follow ups and appointment queries where required

· Provide cover for colleagues’ absence.

· Such other duties as are delegated from time to time.
