Job summary

We are looking for a Receptionist/Administrator to work for 24 hours per week. The hours will be worked over 3 days (days to be discussed at interview).

The purpose of the role is to: Provide a comprehensive reception/administration service to the dermatology team. The post holder will be expected to work without direct supervision and manage their own workload. There will be an expectation for the post holder to be positive, highly motivated, flexible and enthusiastic with excellent organisational and administration skills. Provide a compassionate and caring service to patients either in person or by telephone.

Pay £9.50 per hour. Pay will be reviewed upon completion of successful probation period.

Closing date 22nd February 2023 with interviews planned for the 27th February 2023. If you have not heard back before the 25th February 2023 you have been unsuccessful on this occasion.

Duties may be varied from time to time under the direction of the Deputy Dermatology Manager/Dermatology Manager, dependent on current and evolving Practice workload and staffing levels: Please see attached Job description for full list.

About us

We are a secondary care unit for Dermatology off site from the hospital. We run daily clinics and see a variety of skin care patients and undertake procedures. We are a busy department and have a diverse team, we are looking for an enthusiastic, reliable, hardworking individual to join our team.

Reception Desk: Maintain accurate patient records when inputting appropriate clinical data and information, to include the registration of some patients and checking of GP and patient details on arrival to the department. Clinic preparation including printing clinic lists, put name plates up, check referrals are scanned on patient record, check stock of clinic paperwork such as appointment cards, minor op info etc. Reconcile clinics at the end of each session including accounting all outcome forms, ensuring appointments are booked, purple DNA forms completed. Scanning of clinical records. Give accurate and thorough handovers with other team members when going for breaks. Accept deliveries and process them appropriately. Phones/Administration: Monitor eRS to ensure referral letters are attached and liaise with DRSS for any delayed referrals. Adhere to referral management protocols. Book and rebook outpatient appointments and day case procedures, escalating to Deputy Dermatology Manager/Dermatology Manager when unable to find appropriate slots. Processing telephone requests for appointments or results, taking messages and directing calls to the appropriate individual. Monitoring and action emails in generic dermatology account. Processing and distributing incoming and outgoing emails and outgoing mail regularly throughout the day. Adhere to telederm protocol and undertake telederm audit on a quarterly basis. Process ward referral requests daily. Competent I.T user in particular TrakCare, SystmOne, eRS and Microsoft Office. Manage administrative waiting lists on a daily basis. Manage follow-up pending list and patients awaiting discharge on a monthly basis. Manage referrals in accordance with patient access rules (RTT). Process outgoing external mail using franking machine and log book. Liaise with Litchdon Medical Centre finance staff regarding postage totals. Filing and retrieving paperwork. General: Establish strong and positive working relationships with other team members and to be an integral link to the team. Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures. Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers. Providing clerical assistance to staff as required from time to time, including filing, photocopying and scanning. Confidentiality: In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters.
