Job summary

We are looking for an administrator to work for the Collaborative Board which has member representatives from all the GP Practices in North Devon and they work together for the benefit of primary care and its patients. It is a forum for collaborative working with other health and social care organisations. This role will work closely with the management team which is 2 GPs and 2 Practice Managers. Working 10 hours per week, working days tbc but need to include some Tuesdays. The post will be working at either Litchdon Medical Centre or Bideford Medical Centre. Closing date 21/10/21 and interviews on 27/10/21.

Main duties of the job

To deliver an effective and competent level of clerical support which promotes good customer service and effective working relationships for the Northern Primary Collaborative Board (NPCCB). Act as a point of contact for the NPCCB, dealing with routine and specialist enquiries. Deal with telephone enquiries and taking messages to pass on accurately to the relevant person. Coordinate meetings and diaries for NPCCB's Leadership Team, Board Members and other stakeholders.

Providing administrative support for team meetings; diary management, arranging meetings, producing agendas and taking minutes at meetings, including formal meetings. Minutes and agendas for formal meetings may be circulated outside of NPCCB and a high degree of accuracy is required. Managing generic inboxes ensuring appropriate follow up and liaison with team members. Dealing with routine and complicated enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders, referring to others as appropriate. Answer telephone calls, respond to questions, take messages and pass on accurately to the relevant person. Photocopying and word processing documents, letters, emails and reports of varying complexity when required. Post holder must have a good keyboard skills and be able to use Microsoft Office programmes (i.e. Word, Excel, Outlook, PowerPoint, and Teams, etc.). Able to work on own initiative, prioritising work within defined policies and procedures to set timescales. Have a flexible/adaptable approach to their work in order to meet various deadlines.   • Demonstrable experience of working in an administrative environment and working with computerised data systems.
  • Sound knowledge of Microsoft Office including Outlook, Word, Excel, PowerPoint, and Teams.
  • Understanding of Data Protection legislation
  • Experience of working in a health care Environment.
  • Able to work on own initiative, organising and prioritising own workload to set deadlines.
