Due to the increasing demand in General Practice, we are looking to increase our Medical Secretary workforce we are looking for a part time staff working up to 30hrs.

Main duties of the job

Main duties of the job

The post holder will form part of the multidisciplinary team providing high quality care for patients of the practice. The role of Medical Secretary is integral in the smooth running of the practice and ensuring patients have a smooth journey from primary to secondary care.

You will be responsible for typing referrals made by our clinical team and ensuring they are sent to the correct speciality as well as liaising with patients and secondary care. You must have excellent communication and IT skills and have experience of medical terminology.

You will also process insurance correspondence, fostering medicals, solicitors and taxi medicals. This is a really varied and interesting role where no two days are the same.

You will be responsible for managing workload across the three PWE practices within a team of other Medical Secretaries to ensure all work is completed consistently and to a high standard.

You will promote ownership of patients own health.

Led, through a dedicated Admin Manager you will join a team who are working together collaboratively across all five branch sites of PWE Healthcare.

You will work collaboratively with the Practice team to meet the needs of patients by providing safe, personal, effective, quality-based care.

You will use your judgement, resourcefulness and common sense and demonstrate flexibility when required.

Job responsibilities

Main Duties and Responsibilities

Audio typing of GP and clinical staffs correspondence, using a digital dictation system, to ensure that routine referral letters are distributed efficiently within a 5-day period, using the Choose and Book programme as appropriate and attaching enclosures as necessary.

Accurate typing of medical reports, liaising with patients where they wish to read reports prior to dispatch and generating invoices.

Deal with other clinicians secretarial needs, typing letters from the digital dictation system, or copy typing as appropriate.

Ensure 2 week wait proformas are dealt with efficiently and promptly and contain all relevant information. Follow up all proformas ensuring appointments are made within a 2-week period.

Keep up to date with changes in referral systems and new proformas by reading e-mails sent to the practice.

Ensure correct proformas are being used by GPs and these are saved within the GP proforma directory.

Make best use of the Practice computer system to ensure good communication and audit standards.

Undertake queries on behalf of patients, trying to establish their concerns and trying to resolve, keeping the patient always informed.

Ensure that the hospital is aware of all clinic patients listed for surgery and, where necessary, forward results or notes.

Liaise with consultants secretaries to arrange clinic dates on an annual basis and organise any alterations to the dates when necessary

Take calls from patients wishing to make appointments with the provider services clinics through the Choose & Book system. Register the patients and process their requests.

Attend Clinical meetings within the practice, take and transcribe accurate minutes and distribute as required.

Be an effective member of the Practice team, supporting colleagues as required.

Provide cover for colleagues absence.

Ensure that all responsibilities to staff, patients and other GP Practice visitors under the Health and Safety at Work Act are met.

Such other duties as are delegated from time to time.

Commit to own professional development and attend any training appliable to the role.

Participate in annual performance review.

Always strive to maintain quality in the practice and participate in Significant Event Analysis.
