We are seeking a professional and organised Medical Secretary to provide essential administrative support with a busy healthcare environment.
Main duties of the job
The successful candidate will play a vital role in ensuring smooth communication between patients, medical staff and external organisation. This position offers an excellent opportunity for individuals with office and administrative experience to contribute to a high quality patient care through efficient clerical operations.
About us
We are looking for an enthusiastic medical secretary to join our experienced and dedicated team. We are a well established Practice situated in Leyland, Preston with easy access to the motorway. The team has an established skill mix whereby the GPs and nursing team work closely together to provide first-rate patient access. The Practice is part of an excellent, proactive Primary Care Network with other local practices.
The Practice has one principal GP with 3 salaried GPs, 2, ANPs, 2 Practice Nurses, 2 Health Care Assistants, as well as a pharmacy team. The management team is made up of the practice manager, deputy practice manager and reception manager. The reception team is made up of 5 part time receptionists.

Job responsibilities
- Type letters, reports and associated documentation as required.
- Liaise with external agencies such as hospitals and community services.
- Manage all enquiries in an effect manner.
- Action all incoming emails
- Process letters as requested
- Scan documentation and attached these documents to the patients' healthcare records
- Process referrals using the electronic referral system (eRS)
- Process requests for information eg SAR, insurance/solicitor letters etc
- Answer incoming phone calls
- Manage all administrative queries as necessary
- Support all clinical staff with general administrative tasks
- Be aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on Safeguarding Adults and Safeguarding Children.
- Organise monthly MDT meetings and other meetings.
- Produced meeting agendas and record the minutes of the meetings.

- GCSE Grade A to C in English and Maths
- Typing qualifications eg OCR or RSA Diploma
- Experience of working with the general public.
- Experience of administrative duties
- Excellent communication skills and effective in communicating and understanding patient needs
- Competent in the use of MS Office and Outlook
- Problem solver with the ability to process information accurately and effectively, interpreting data as required
- Ability to use own initiative, discretion, and sensitivity
- Understanding of clinical coding
