Job summary
We are looking for an experienced, proactive and enthusiastic
individual. The post holder will be
required to have an understanding of health services.
The post holder will support the Practice Manager in all aspects of
practice functionality. Optimising efficiency and overall performance, ensuring
the practice achieves its long-term strategic objectives in a safe and
effective working environment.
The Assistant Practice Manager will focus on the day-to-day operability
of the practice championing collaborative working, service delivery, learning
and development and promoting a positive working environment.
Main duties of the job
The following are the core responsibilities of the Assistant Practice Manager There may be on occasions a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
- Supporting the Practice Manager in the day-to-day operations of the practice
- Liaising with relevant staff to ensure an effective appointment system for all services ensuring the clinical session structure is effective meets the needs of the patients and clinicians have access to suitable rooms
- Provide initial guidance and advice to patients who wish to complain
- Monitoring compliance with health and safety legislation
- Identify and develop, implement deliver and embed an effective practice training programme for all staff (clinical and administrative) liaising with external agencies when necessary and maintaining a training record.
- Manage compliance registers, supporting the practice management team ensuring DBS checks are conducted for appropriate staff.
- Assisting the management of the clinical system, ensuring IT security and IG compliance at all times.
- Responding and resolving all local IT issues where appropriate.
- Supporting the effective use of ERS, EPS, Docman and other IT programmes.
- Monitoring and disseminating information on safety alerts and other pertinent information.
- Support the management team in the compilation of practice reports.

- Act as the primary contact for NHSE, CCG, community services, suppliers and other external stakeholders in the absence of the Practice Manager.
- Assist with the recruitment of staff as requested by the Practice Manager.
- Support the Practice Manager in the reviewing and updating of practice policies and procedures.
- Support the Practice Manager with CI (Continuous Improvement) and change initiatives.
- Act as the building manager, dealing with defects, maintenance and all other associated tasks.
- Coordinate PAT testing (portable appliance testing).
- Maintain an equipment log.
- Manage asset registers with the management team.
- Act as the communication link between the management team and staff.
- Represent the practice locally as required.
- Maintain a working knowledge of CCG/PCN initiatives.

- Ability to accept change as all our roles evolve in context of a changing climate of the NHS
