Job summary

We are looking for a research administrator to work within our research team based at Newton Place Surgery in Faversham. Whilst your employment will be based at Newton Place Surgery, you will work with and be supported by the primary care research team at the Centre of Health Service Studies at the University of Kent to deliver research activity to patients across primary care to several practices in East Kent. Main duties of the job

Provide administrative assistance to enable the delivery of research studies through local research-active GP practices in East Kent.

Provide administrative support to clinical staff delivering primary care research activity at Newton Place Surgery and other research-active GP practices in the East Kent area.

Provide administrative assistance in relation to invoicing and research delivery payments in order to support the delivery of research across research-active GP practices in the East Kent area.

Assist the Research Facilitator in ensuring that the research governance and data protection aspects of research activity are conducted in line with national laws, policies and guidelines.

Job purpose

To provide a range of administrative research support to Newton Place Surgery, Faversham and also to other research-active GP practices in the East Kent area. The post will primarily support the GP Research Lead at Newton Place Surgery and will work closely with the Research Facilitator based at the University of Kent. The role will support successful research delivery and implementation at Newton Place Surgery and also across research-active practices in the region.

Location

The post will primarily be based at Newton Place Surgery, Faversham but there may be occasions where the post holder will be required to travel to other primary care locations within the East Kent area to provide administrative research assistance.

Key accountabilities

This section details the main accountabilities (or responsibilities) of the job, together with a selection of indicative duties. Other duties, commensurate with the grading of the post, may also be assigned from time to time.

Providing administrative assistance to enable the delivery of research studies through local research-active GP practices in East Kent. Key duties include but are not limited to:

o Maintaining the research pages on the practice website.

o Liaising with external study teams.

o Arranging meetings, keeping minutes and maintaining an action plan for research activity.

o Organising mail outs using mail merge and/or Docmail and sending mass texts to potential research participants to maximise recruitment.

o Manning the research mobile and the research email, ensuring that responses are timely.

o Liaising with the NIHR Clinical Research Network for Kent, Surrey and Sussex.

o Ordering research supplies.

Providing administrative support to clinical staff delivering primary care research activity at Newton Place Surgery and other research-active GP practices in the East Kent area. Duties include:

o Liaising with clinicians to arrange screening, appointments and completion of documentation.

o Ensuring all site documents are completed and signed in a timely fashion.

o Maintaining study site files.

o Updating screening and withdrawal logs.

o Using practice-based systems to set up and run searches, both in relation to studies and on behalf of the NIHR Clinical Research Network for Kent, Surrey and Sussex.

o Updating/maintaining patient records as necessary for research participants.

o Liaising with other practice staff as necessary, including reception staff, to ensure they are aware of research activity at the practice and what to do in the case of enquiries.

o Maintaining records of study recruitment.

o Contacting patients in relation to research participation e.g. arranging research visits.

Providing administrative assistance in relation to invoicing and research delivery payments in order to support the delivery of research across research-active GP practices in the East Kent area.

Assisting the Research Facilitator in ensuring that the research governance and data protection aspects of research activity are conducted in line with national laws, policies and guidelines. This may include:

o Assisting with feasibility and risk assessments to ensure all research activity conforms to national research governance standards and can be delivered locally.

o Assisting in the confirmation of Capacity and Capability for research studies according to established local processes.

Qualifications

Essential

  • Educated to A level standard or equivalent plus GCSE in English and Maths or equivalent

Desirable

  • Educated to degree level or equivalent
  • IT qualification such as ECDL or equivalent

Experience

  • Working knowledge of a wide range of administrative procedures gained through training and experience in other administrative roles
  • Good IT skills, particularly Microsoft Office packages
  • Excellent interpersonal and communication skills, both written and verbal
  • Highly organised with the ability to prioritise conflicting deadlines whilst maintaining accuracy at all times
  • Ability to work independently, plan own workload and work well under pressure to meet deadlines
  • Ability to work effectively in a team and to collaborate with people at all levels

Desirable

  • Experience and understanding of working within an NHS or Higher Education research environment
  • Previous experience of working in a Primary Care setting
