Job summary

The role of Medical secretary is to provide secretarial support to the Practice Manager, General Practitioners and other members of the Primary Healthcare Team.

The post holder will provide a high standard of communication with both patients and the healthcare team.

Main duties of the job

Offer general assistance to the practice team and project a positive and friendly image to patients and visitors either in person or via the telephone

Undertake a variety of admin duties to assist the smooth running of the practice including provision of secretarial and clerical support to clinical staff and other members of the team

Facilitate effective communication between patients, clinicians, secondary care and other associated healthcare agencies

About us

We are a friendly, forward looking and enthusiastic practice of 18,500 patients. The practice has easy access from the A19 and Durham.

We have six sites covering, Wingate, Peterlee, Horden, Wheatley Hill, Thornley and Kelloe.

We are a training practice and host GP Registrars at various levels of training and also support with supervision and mentoring of Foundation Doctors, Medical Students and various ARRS roles including Physician Associates, Pharmacists, FCP and other inhouse development roles.

Job description

Job responsibilities

The following are the core responsibilities of the medical secretary. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

Typing letters, reports and associated documentation as required

Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently

Manage all enquires in an effective manner

Maintain an accurate referrals database

Scanning of patient related documentation and attaching scanned documents to patients healthcare records

Input data into the patients healthcare records as necessary

Process referrals using the electronic referral system (ERS)

Read code data on SystmOne Clinical System

Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

Manage all administrative queries as necessary

Carry out system searches as requested

Maintain a clean, tidy, effective working area at all times

Support all clinical staff with general administrative tasks as requested

  • Educated to GCSE level or equivalent
  • GCSE Maths & English (C or above)

Experience

  • 3 Years experience working as a Medical Secretary
  • Experience of working with the general public
  • Strong IT skills
  • Good interpersonal skills
  • High levels of integrity and loyalty
  • Ability to work under pressure
  • Polite and confident

Desirable

  • Problem solving & analytical skills
  • Sensitive and sympathetic in distressing situations
  • Forward thinker
  • Flexible and cooperative
