Practice Operations Assistant

Job summary

Working with the Practice Operations Manager to ensure Ringmead Medical Group meets the desired aims and standards to provide excellent patient services and clinical care. This will include quality, health & safety, workplace regulatory / compliance standards and CQC registration requirements.

Main duties of the job

The Practice Operations Assistant will need to possess good interpersonal, organisational and communication skills especially when dealing with staff, external contractors and most importantly patients. Be able to prioritise work and have the ability to manage multiple tasks or projects as part of the role.

Job description

Job responsibilities

  • To ensure the provision of a high quality patient services within a safe, efficient working environment by providing effective support to the Practice Management Team and staff and encouraging the development and progress of the Practice.
  • Working with the Practice Operations Manager to ensure all the practice policies are reviewed and updated within their agreed timelines and available for staff to read and acknowledge on TeamNet
  • Working with the Practice Operations Manager to assist with the management of Significant Events, including documentation using post-event analysis tools, monitoring action plans, identifying trends, anonymising reports, and uploading to TeamNet and LFPSE
  • Provide support to the Practice Operations Manager in the absence of the Deputy Practice Manager, Patient Services Manager, Nurse Team or other practice operational team members.
  • Working with the Practice Operations Manager to ensure audits and risk assessments are carried out on a regular basis, with actions plans for improvement i.e. Staff Workstation audit, operational risk assessments.
  • Support the Practice Operations Manager by collating and analysing practice feedback i.e. from Friends and Family Test, National GP Survey, Staff surveys etc to be shared with the Partners, staff, CQC and patient groups.
  • Working with the Practice Operations Manager to identify areas for improvement and review practice data to enhance quality.
  • Working with the Practice Operations Manager to ensure the practice staff meet all mandatory training requirements and certificates are uploaded onto TeamNet in a timely manner
  • Support the Operations Manager with arranging BASE training and minuting the meetings.
  • Support the Practice Operations Manager with the delivery of environmentally friendly initiatives and green incentive projects within the practice.
  • Ensure internal communication channels (e.g., notice boards, TeamNet, practice website) are current and relevant.
  • Support the Patient Services Manager in producing a monthly patient newsletter
  • To help and support the Practice Operations Manager with the Patient Participation Group PPG, by setting up meetings and arranging the hiring of rooms
  • To maintain skills at the current level and undertake such training and development as may from time-to-time be required to maintain personal competency.
  • Undertaking a variety of administrative duties to assist in the smooth running of the practice.
  • Managing multiple tasks and prioritising workload to achieve outcomes.
