We are looking for an experienced medical secretary who shares our values and who has the energy, skills and enthusiasm to contribute to our organisation.

Main duties of the job

    • To provide efficient audio and copy typing service
    • To make referrals, appointments, bookings and process all associated communication and liaise with external agencies
    • Manage all communications and enquiries
    • Input data into the patients healthcare records
    • Process referrals using the electronic referral system and maintain worklists
    • Read code data on EMIS where appropriate to referrals
    • To establish and maintain filing and admin systems
    • To receive incoming and outgoing telephone calls
    • To participate in providing secretarial cover across Middlewood
    • To work collaboratively with others in a flexible and positive manner
    • Participate in individual performance review
    • Maintain a clean, tidy, effective working area at all times
    • Support all clinical staff with general administrative tasks as requested
    • Share the management of the secretarial inboxes & tasks
    • Manage incoming emails

Role Overview

The duties and responsibilities to be undertaken may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the line manager, dependent on current and evolving practice workload and staffing levels:

  • To provide efficient audio and copy typing service for the Middlewood Partnership as required. This includes the typing of letters, reports, and patient referrals in an accurate manner.
  • To make referrals, appointments, bookings and process all associated communication and liaise with external agencies
  • Manage all communications and enquiries in an effective and timely manner
  • Input data into the patients’ healthcare records as necessary
  • Process referrals using the electronic referral system and maintain worklists
  • Read code data on EMIS where appropriate to referrals
  • Answer incoming telephone calls and dealing with callers requests within scope of this JD
  • To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • To receive incoming and outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • To maintain the computer system in an accurate and secure manner
  • To participate in providing secretarial cover across Middlewood
  • To work collaboratively with others in a flexible and positive manner to assist in the promotion of a professional, competent and caring delivery of health to the users of our services.

  • Educated to GCSE or equivalent in English language

  • Relevant qualifications or demonstrable experience of Primary Care medical secretarial work
  • Experience of working in an environment with conflicting pressures and changing workload
  • Experience of working within a team and of developing good working relationships with internal and external staff at all levels
  • Experience of collating data and extrapolating information
  • Ability to work on own initiative and organise workload
  • Able to write clearly and concisely
  • Able to present data and information in easily understandable formats
  • Sound knowledge of medical terminology

  • Experience with ERS
  • Experience of using EMIS
