Job summary

The Middlewood Partnership is a GP Practice and Primary Care Network of 33,500 patients, established in April 2019. We operate from 4 sites across Bollington, Disley and Poynton and we are looking for an enthusiastic individual who shares our values and has the energy and skills to contribute to shaping how we deliver care for the future, to join the Middlewood Partnership as a Medical Receptionist.

This post is based at Priorslegh Medical Practice in Poynton, although flexibility is required to work from any of the 4 sites within the Partnership, according to business need.

Main duties of the job

The post holders will play a key role in the smooth and efficient running of the front of house services within the medical centre, assisting GPs and wider clinical and non-clinical teams in providing an excellent service to patients.

We are looking for individuals who have experience of working with the public, in a team, and with colleagues, managers and clinicians. You must also have experience of conflict management and excellent communication, interpersonal and IT skills. Telephone/switchboard skills, problem solving and organisational skills are also required. Individuals must have the ability to maintain a positive work environment, attention to detail and an ability to build good relations with key internal and external colleagues, plus excellent time management skills.

Job Title: Medical Receptionist

Based: The Middlewood Partnership

Accountable to: The Middlewood Partners

Reports to: Reception Manager/Practice Manager

Hours: Part time

1 post at 30 hours, based at Priorslegh Medical Centre, Poynton

Salary: £9.11 per hour

Type of position: Permanent

Key Responsibilities

Maintaining a positive and consistent can do attitude, treating everyone with dignity and respect.

Be the first point of contact for patients and visitors entering the GP surgery or calling on the telephone.

Be the first point of contact for all external organisations and other health professionals contacting the surgery and dealing with all enquiries appropriately.

Dealing with patient requests either face to face, on the telephone or via the AskmyGP system.

Directing enquiries to the appropriate people and understanding and managing patient expectations through effective questioning.

Booking, cancelling or amending a range of appointment types including appointments with GPs, Nursing staff and our other allied professionals such as MSK practitioners and Physicians Associates.

Chaperoning during clinical consultations, as requested.

Handling difficult situations in a calm and professional manner.

To undertake opening and closing procedures for the surgery.

Responding to all general patient enquiries and following and directing patients to practice processes and procedures to deal with all queries. This includes but is not limited to: new patient registrations, requests for patient access, repeat prescription requests, requests for patient information such as Subject Access Requests and receiving samples from patients.

Ensuring that incoming colleagues are provided with any information about any unresolved or urgent matters either using the message book or internal email.

Prioritise workload according to daily requirements, through consultation with the Reception Manager and other team members.

To attend internal/external meetings/courses as and when requested.

Keeping all areas in the surgery tidy especially the reception and waiting room areas.

Ensuring that all outgoing patient correspondence is filed in order ready for collection.

Taking payments for non-NHS work where appropriate.

To ensure that all patient records are kept up to date within the remit of the role.

To abide by the strict confidentiality guidelines

To ensure that all equipment in the reception area is working before the start of the session, and during as necessary, reporting any faults as and when discovered, to the Practice Manager.

To use all systems provided to enhance communication to patients

To carry out any duties that maybe necessary to assist with the smooth running of the surgery

Flexibility is essential to cover for annual leave, absence and all other instances.

NB. The post holder must understand that whilst this post is based at one of the Middlewood sites, flexibility is required to work from any of the 4 sites within the Partnership, according to business need.
