Secretary/Administrator
Accountable to: Senior Medical Secretary

Job
Summary
To provide a secretarial service
to the GPs / clinical staff / Practice Manager involving word processing and
audio typing skills with general clerical work.
Duties
& Responsibilities
You are required to work as
part of a team to ensure the smooth and efficient running of the surgery to
deliver the best possible service to patients.
To provide an efficient
service to the GPs, senior management team and other health professionals as
required. This includes the audio typing
of letters, reports and patient referrals in an accurate and timely manner
To set up e-referrals and
monitor the e-referral system and act accordingly
To
input and read code referral data into Emis web clinical system
To
liaise with hospital departments and other outside organisations to follow up
the care of individual patients as requested by the doctors.
To
receive incoming and initiate outgoing
telephone calls in order to facilitiate timely and appropriate communications
with others and dealing with appropriate queries to a high standard.
To
retrieve medical records and assist in the completion of medical/insurance
reports through the use iGPR
Scanning
a range of documents (including medical reports, hospital letters and referral
forms and coding appropriately) into the patient record
Maintain
central spreadsheet record of all non NHS work undertaken by the practice,
including, but not exclusively:
Dealing
with Subject Access Requests
Medical
reports
Insurance
reports
Patient
letters
Invoicing
for all work undertaken and recording all WMG invoicing information (request
sent, response received and notes/information sent) in central record.
Knowledge/Skills:
The ability to prioritise
ones own workload.
Excellent verbal and
written communication skills.
Knowledge of how general
medical practice relates to the hospital sector and outside organisations
Strong organisational
skills including the ability to maintain and develop systems and processes
including written procedures.
Accurate audio typing
