Job summary
We are looking to recruit a Medical Secretary for our surgery at London Road Surgery.
Applicants need to demonstrate a professional and friendly manner. Along with advanced computer skills and medical terminology knowledge is desirable, for choose and book system and electronic referrals. Applicants will have to have a good attention for detail and work with a high level of accuracy. Applicants need to demonstrate good organisational skills and willingness to work individually and as part of a team. Experience of previous medical secretarial work, referral process and System One is desirable although training will be provided.
Main duties of the job
The Medical Secretary will be the initial point of contact for any referrals at the practice along with communicating with hospitals. Also monitoring the advice and guidance and worklists.

We are based over 2 sites and have a patient list size of over 22,000.

Primary responsibilities
- Processing referrals using the electronic referral system (ERS), electronic referrals via systmone and updating tasks appropriately
- To oversee the Choose and Book System including the daily monitoring of the activity lists and any other associated administration tasks including advice and guidance.
- Any referrals declined and following up as necessary.
- Typing letters and associated documentation as required
- Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
- Managing all enquiries in an effective manner
- Maintaining an accurate referrals database
- Actioning all incoming emails and systmconnects
- Scanning of patient related documentation and attaching scanned documents to patients healthcare record
- Dealing with incoming and outgoing tasks relating to MCCD
- Inputting data into the patients healthcare records as necessary
- Answering incoming phone calls, transferring calls or dealing with the callers request appropriately
- Managing all administrative queries as necessary
- Carrying out system searches as requested
- Maintaining a clean, tidy, effective working area at all times
- Supporting all clinical staff with general administrative tasks as requested
Secondary Responsibilities
- Partake in audits directed by the audit lead
- Support patient support team, providing cover during staff absences
- There will be requirement to work 3 sessions a month in reception - this will entail answering calls, working on front reception. All training will be provided.
