Job summary
Working closely with the Operations & Admin Manager this role will serve as the main point of contact for all IT related issues, as well as general operational responsibilities. They will have a good working knowledge of the day-to-day operation of the individual sites and IT platforms.
Essential Criteria
You will need a good standard of education and working knowledge of IT systems, however training on specific IT systems will be provided. A can-do attitude with good organisational schemes is essential, you will need to be reactive to situations that may occur and be a calm, positive and helpful addition to our growing the team.
Salary Range: £21,313 - £22,485 - Dependent on experience
Main duties of the job
Supporting the Management team to ensure compliance with all regulatory aspects such as Fire safety, Health and Safety, Disability Compliance and CQC regulations.
Be first point of contact for all IT related issues, including organising IT for new starters to the business.
General support to the Management team, including arranging meetings, appraisals, training etc

Working closely with the Operations & Admin Manager this role will serve as the main point of contact for all IT related issues, as well as general operational responsibilities. They will have a good working knowledge of the day-to-day operation of the individual sites and platforms such as S1 and Anima.
Operations:
- Attending Site visits with Ops Manager to ensure compliance with Planned Preventative Maintenance and CQC requirements
- Supporting Operations & Admin Manager with Fire Safety
- Organise and chase up quotes for building maintenance
- Keeping track and making sure Laptops are updated regularly in case they are required as part of our Business Continuity
- Ensure Business Continuity Plan is kept up to date
- COSHH check and update every 3 months
- Create and update personnel folders
- Attend and participate in team meetings.
- Point of contact for all IT issues within the practice i.e. printers not working, problems with phones, keyboards, laptops etc. resolving all in a satisfactory manner and time frame
- Have a working knowledge of all software and hardware including telephone system
General
- Submitting data information for Temporary residents
- Organise and update GP/Locum pack
- In collaboration with the Management team ensuring Radar scheduled tasks and Risk Register items for Operational targets are completed in a the required timeframes
- Organising staff training in liaison with Team Leads and Managers
- Support with event planning
- Supporting Starter and Leaver process
- Organising interviews, sending out invites, waiting for confirmation
- Long service awards maintain the spreadsheet and organise gifts
- Diary Management and meeting planning including arranging appraisals & probationary reviews, ensuring paperwork is sent out beforehand and received prior to the meeting
- Have a knowledge of other Management Support roles to be able to provide cover when necessary
- To have a thorough knowledge of all practice procedures
- To work in accordance with written Standard Operating Procedures (SOPs)
- Ability to work on own initiative, organising and prioritising own workload to meet deadlines
Other Tasks
- Allocation of Pathology results as per protocol
- Monitor and respond to/distribute incoming emails to generic account
- Duties may be varied from time to time under the direction of the Management team, dependant on current and evolving practice workload and staffing levels.
