Job summary

You will play a pivotal role in the practice, leading on all operational and compliance workstreams. You will lead on a wide range of activities, including ensuring the practice is compliant with all of its contractual and regulatory obligations, managing the administration team, organising rotas and room allocations for clinicians, ensuring the smooth day to day running of the practice and pro-actively involved in assisting both Lakeside Healthcare and Stamford practice to achieve its vision and objectives.

Main duties of the job

Acting as a role model, the Operations Manager will deliver strong leadership and operational performance standards developing and supporting the Hub in all aspects.

As a professional and experienced senior manager, the post holder will use their own initiative to:

  • Work productively with staff ensuring effective and efficient operations day to day.
  • Motivate, develop, and empower staff, leading by example.
  • Adopt a problem-solving approach to identify solutions to challenges within the service.
  • Be visible and directive, ensuring consistent and timely decision-making

Essential Criteria

  • Working in a GP practice or similarly regulated environment Essential
  • Team management including coaching, performance & conflict management Essential
  • Excellent customer service and communication skills Essential
  • Ideally require a Management / H&S or Project Management qualification, or be able to evidence sound working knowledge in these competencies
  • Training and support will be offered to all new employees.

Job responsibilities

Supporting the overarching Lakeside Healthcare Group strategy, the Operations Manager is responsible for delivering a compliant and effective business function and service for The Stamford Surgeries at both the Sheepmarket Surgery and St Marys Medical Centre in Stamford, Lincs.

Reporting to the Hub Manager and in conjunction with the Senior Management team the Operations Manager plays a crucial role in delivering effective management of premises, facilities, IT systems, Human resources and health and safety, and leading service improvement and development programmes across Lakeside Healthcare, Stamford.

Acting as a role model, the Operations Manager will deliver strong leadership and operational performance standards developing and supporting the Hub in all aspects.

As a professional and experienced Senior Manager, the post holder will use their own initiative to:

  • Work productively with staff ensuring effective and efficient operations day to day.
  • Motivate, develop, and empower staff, leading by example.
  • Adopt a problem-solving approach to identify solutions to challenges within the service.
  • Be visible and directive, ensuring consistent and timely decision-making.

DUTIES & AREAS OF RESPONSIBILITY

Operational:

  • Ensure local standards are delivered in line with Lakeside Healthcare policies.
  • Monitor and report performance within the Operational and Quality Governance framework, in particular Health and Safety, CQC & Risk Management and ensure that operational performance is consistent with the expectations of the Lakeside Healthcare Group.
  • Support Lakeside Healthcare, Stamford to achieve its service development plans, performance targets and organisational strategy.
  • Working with the Hub Manager take responsibility for the delivery of operational key performance indicators.
  • Responsible for overall management of the premises.

  • Monitor and manage all Health and Safety activities, including routine maintenance contracts and internal audits in line with relevant LHG Policy and national Health and Safety Standards.
  • Being lead fire manager, ensure all fire procedures are kept up to date, monitored and tested.
  • Business Continuity management including emergency preparedness.
  • Have a clear understanding of telephone systems, daytime and out of hours.
  • Understand and monitor security systems.
  • Ensure efficient and effective use of rooms and equipment to maximise room occupancy for internal and external room users.
  • Take a supervisory approach to the operational side of educational services, minimising negative effects on the service to patients. Assist with the development and implementation of new models of care provisions.

Staff Management and Communication

  • In conjunction with the Senior Management team, ensure that there is an embedded philosophy and practice of continuous improvement by encouraging innovation and creativity, undertaking on-going assessment and review of the team and associated practice processes and standards.
  • Day to management of administrative and support staff.
  • Working with the Senior Management team, ensure that the teams are staffed effectively.
  • Ensure all administrative and support staff receive regular and relevant appraisals.
  • Supervise administrative teams to ensure all systems are working cohesively and effectively together and following LHG protocols and policies.
  • Monitor administrative staff rotas and allocation of work.
  • Ensure all staff are provided with a complete induction training.
  • Oversee the agenda, minute taking and circulation of non-clinical meetings where appropriate.
  • Organise meetings, implement actions and lead as appropriate.
  • Assist in the production of information for clinical/non-clinical audits Deputise in the absence of the HUB Manager.

Human resources

Support recruitment activities where delegated.

Be first point of contact for HR matters for PTSV Administration staff, management support staff.

Using the Rota Master platform, ensure personnel records are maintained and compliant.

Implement mandatory and personal development training.

Arrange and lead regular administrative staff meetings.

Premises and facilities:

Delegated responsibility from the HUB Manager, in relation to all aspects of building maintenance, security and safety.

Co-ordinate remodelling and room moves as required.

Hands on maintenance as required e.g., plumbing and cleaning with appropriate contractors.

Liaise with Group Operation team to ensure insurance cover for building, contents, and computers.

Information Technology & Systems:

Be a practice expert in all aspects of the clinical system, Rota Master and Radar and be able to train other users, both clinical and non-clinical, in the best use of the systems.

  • Have overall understanding of all related IT systems.
  • Implement and maintain all associated IT requirements: upgrades, security and services supporting the practices IT systems.
  • Report any significant events relating to the IT systems to the Hub Manager.
  • Assist the Hub Manager in the ongoing development and implementation of the practices IT strategy.

Finance and Ordering Systems

  • Ensure that purchase order systems are adhered to and signed off for all aspects of purchasing within the practice with the HUB Manager.

External Relationships

Ensure efficient internal and external communication, being the primary point of contact for the practice for all operational and related management responsibilities.

Keep abreast of developments within the NHS and Primary Care legislation which might impact the Practice or individual partners/GPs and offering options for consideration.
