Job summary
We have a
great opportunity for the right candidate to join our patient services
team. We are looking for someone with a
passion for primary care and the drive to support our clinical service.
Reporting to
the Administration Manager, the ideal candidate will ideally have worked in a
busy surgery, and/or in a similar administrative role. This opportunity will
involve processing incoming patient information, liaising with internal and
external healthcare professionals as well as other administrative duties
including supporting our reception team.
Training
will be available to use our clinical systems (SystmOne)
Main duties of the job
- As
a paperless office, there is the utmost importance to scan all correspondence
ontoelectronic
patients medical record, using the SystmOne database and to ensure that clinical
coded entries are entered appropriately and accurately.
- Undertake
a variety of administrative duties to assist in the smooth running of thepractice
including opening of the post, clinical coding, scanning and filing.
- Facilitate
effective communication between all staff members, patients, members of the
primary health care team, secondary care and other associated parties.

- To have a thorough knowledge of all administration procedures.
- To work in accordance with written protocols.
- To carry out specific administration tasks.
- Processing, clinical coding and workflow of incoming mail.
- Summarising incoming medical records.
- Deduction and redirection of patient records.
- Referrals and E-referrals.
- Issuing patient medication and dealing with any queries over the telephone.
- Covering Reception when short staffed.

This will include:

- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks across the business.
- Making effective use of training to update knowledge and skills.
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.
- Actively reporting of health and safety hazards and infection hazards immediately when recognised.
- Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role.
- Undertaking periodic infection control training.
