Job summary
We are looking to recruit a full-time Management Support Administrator to undertake a variety of administrative duties to assist in the smooth running of the practice.
To be involved in creating and running ad-hoc searches
Quality improvement audit, monitor and report on practice performance.
Facilitate effective communication between all staff members, patients, members of the primary health care team, secondary care and other associated parties.
Training will be available to use our clinical systems (SystemOne)
Main duties of the job
Undertake a variety of administrative duties to assist in the smooth running of the practice
Quality Improvement audit, monitor and report on practice performance
Submitting data information for Temporary residents
Collating and submitting patient feedback data
Organise and update GP/Locum pack
Organise and chase up quotes for building maintenance
Keeping track and making sure Laptops are updated regularly
COSHH check and update every 3 months
Ordering goods/refreshments/supplies
Organising clinical interviews, sending out invites, waiting for confirmation
Long service awards maintain the spreadsheet and organise gifts
Create personnel folders
the knowledge of Management Assistant to cover data admin
The post holder will be responsible for escalating queries to the appropriate member of staff in line with agreed SOPs
The post holder will be required to work flexibly in response to the needs of the organisation providing cover for administrative staff to ensure continuity of a quality service provision.
Attend and participate in team meetings and patient services meetings as required
To have a thorough knowledge of all practice procedures
To work in accordance with written Standard Operating Procedures (SOPs)

Support other departments when needed i.e. reception, help with telephone calls, complaints etc. when team leader is unavailable
Ensuring audits are completed within agreed time frames and provide administrative support where necessary
Point of contact for all IT issues within the practice i.e. printers not working, problems with phones, keyboards, laptops etc. resolving all in a satisfactory manner and time frame
Have a working knowledge of all software and hardware

Duties may be varied from time to time under the direction of the Management team, dependant on current and evolving practice workload and staffing levels.
