Job summary

The Clinical Administration Team provides a wide variety of essential administrative and secretarial support to the Practice. We are now looking for a Clinical Administrator to join our friendly team. The ideal candidate will have previous secretarial or administrative experience gained in a healthcare environment. Previous experience in a GP Practice is desirable, but not essential. You will have a good overall level of IT skills. You will possess excellent communication and organisational skills and be educated to GCSE level.

Main duties of the job

  • Maintain highest level of confidentiality and comply with data protection standards when handing patient related and other confidential/sensitive data
  • Work as a fully integrated member of the Clinical Administration Team to provide general secretarial and administrative support to Practice Staff
  • Scan and workflow all incoming correspondence both electronic and paper
  • Filing of Electronic Pathology and Radiology Results
  • Administration of Medical Reports, Insurance reports and Solicitors requests for information
  • Fold, frank and sort outgoing mail
  • Deal with patient appointment requests and queries on the telephone, electronically or in person as and when required
  • Act as secretary to the doctors, including the typing of referral letters and other clinical correspondence, special reports, lecture notes, practice business correspondence and personal correspondence as required
  • Code clinical information from hospital correspondence, such as pathology results, into Patient records in the SystmOne
  • Any other duties that may be required

About the Practice/Department/Team

Lakeside Healthcare at Yaxley is a well-established surgery with a list size of approximately 18,000 which is growing. We achieved full QOF points, and have been awarded the RCGP Quality Practice Award twice. There are 10 GPs, 3 Registrars, 3 Nurse Practitioners, 2 Emergency Care Practitioners, 1 Prescribing Pharmacist, 1 Pharmacy Technician, 5 Practice Nurses, 5 HCAs and 20 reception and administrative support staff on site all working together to provide same day access and first class primary care.

Job Purpose

The Patient Services Administration Team provides a wide variety of general administrative support to the Practice

Principle Responsibilities

Key Tasks and Standards:

• Maintain highest level of confidentiality and comply with data protection standards when handing patient related and other confidential/sensitive data

• Work as a fully integrated member of the Clinical Administration Team to provide general secretarial and administrative support to Practice Staff

• Scan and workflow all incoming correspondence both electronic and paper

• Filing of Electronic Pathology and Radiology Results

• Administration of Medical Reports, Insurance reports and Solicitors requests for information

• The booking of appointments for Occupational Health Medicals

• Raise invoices for medical reports etc. completed within the department

• Notification of deaths to the relevant hospitals, clinicians and Health Authority and maintain the electronic Deaths Register

• Act as secretary to the doctors, including the typing of referral letters and other clinical correspondence, special reports, lecture notes, practice business correspondence and personal correspondence as required

• Deal with patient appointment requests and queries on the telephone, electronically or in person as and when required

• Reception Duties as and when required.

• Provide general IT support to doctors and staff and liaise with various IT helpdesks when required

• Maintain Monthly/Quarterly recalls for various chronic illness clinics, tests and vaccinations

• Develop, update & maintain the YGP Website and intranet

• Download digital camera, blood pressure monitors, 24 hour ECGs and send any relevant information via the NHS net

• Carry out searches, audit and on SystmOne in accordance with agreed protocols

• Perform monthly checks on various statistics, maintain an audit log, produce spreadsheets, graphs, charts and presentations as requested

• Assist the Clinical Administration Supervisor as required

• Code clinical information from hospital correspondence, such as pathology results, into Patient records in the SystmOne

• Assist with pruning, summarising and coding of medical records in accordance with approved Practice procedures

• Fold, frank and sort outgoing mail

• Any other duties that may be required
