Job summary
As part of the Reception Team you will be the first point of contact for
patients contacting the surgery, either by telephone, face to face or
digitally. The team are extremely busy,
dealing with over 500 patient contacts per day and therefore an ability to be
able to work at pace whilst maintaining professionalism is essential.

Main duties of the job
- Work as part of the Reception team to ensure
patients and other service users queries are dealt with in a timely manner
- Answer calls from patients requesting a doctor
consultation and take appropriate information recording it on the relevant
system
- Process and action online consultation
requests, forwarding them to the appropriate clinician
- Process repeat prescription requests in
accordance with practice procedures
- Process patient registrations, deductions and
other administrative tasks

About the
Practice/Department/Team
Lakeside Healthcare at Yaxley is a well-established surgery
with a list size of approximately 17,800 which is growing. We achieved full
QOF points, and have been awarded the RCGP Quality Practice Award twice.
There are 10 GPs, 3 Registrars, 3 Nurse Practitioners, 2 Emergency Care
Practitioners, 1 Prescribing Pharmacist, 1 Pharmacy Technician, 5 Practice
Nurses, 5 HCAs and 20 reception and administrative support staff on site all
working together to provide same day access and first class primary care.

Job Purpose
To provide a positive, professional and welcoming experience for those entering the practice and to be the first point of contact for patients and their family members and carers either by phone or in person. To take a significant number of sequential telephone calls to support the Dr First system operating at the practice through Care Navigation. To work as an effective member of the reception team and play an active role in the practice as a whole. To undertake various administrative duties necessary to ensure the smooth running of the practice. To receive prescription requests from patients from a variety of sources; generate prescriptions; ensure they are signed by the appropriate doctor and issued correctly. To maintain a good relationship with the on-site pharmacy (Rowlands).
Principle Responsibilities
Reception
- To greet patients on arrival at the practice and direct them to the appropriate waiting area or person
- To encourage patients to use the automated check-in screens
- To answer patient’s questions and queries
- To book follow-up appointments if required by the clinician
- To receive samples for analysis
- To welcome visitors and ensure they are issued with the appropriate information
- To open up the building if they are the first on site
- To open up and lock the building on Saturdays
- To support the clinicians working in the practice
Telephony
- To answer calls from patients requesting a doctor consultation and take appropriate information recording it on the relevant system
- To answer the emergency line promptly
- To be observant of the telephone “queue” and endeavour to keep wait times to a minimum
- To take messages from staff calling in absent or sick
- To convey the outcome of tests and investigations to patients as instructed by the clinicians
Administrative duties
- To process and action Engage Consult Reports
- To register patients, on-line registrations, temporary residents and births
- To deduct patients
- To process changes to patient records e.g. change of address
- To assist with scanning and summarising of notes
- Add patient information in the events book
- To send secure faxes as requested
- To provide support at the weekly baby clinic
- To check cervical smear and child immunisation information on the Open Exeter system
- To enter organ and blood donor consents onto the Open Exeter system
Prescriptions
- To generate prescription and direct queries to the relevant clinician
- To be the first point of contact for all prescription related queries
- To ensure prescriptions are signed by the prescribing pharmacist or duty doctor
- To process repeat prescription requests within the agreed guidelines
- To support the administration of prescriptions for residential and nursing homes
- To ensure completed prescriptions are available for collection
- To build a positive working relationship with the in-house pharmacy to ensure effective working
Other
- To participate in training and reception meetings as required by the Clinical Administration Team
