Job summary

We are seeking one Full Time Practice Managers with excellent interpersonal, customer service and organisational skills to join our team. PMs would need to have completed the relevant Primary Healthcare Management Trainings like AMSPAR and/or ILM in healthcare management. OR have at least 5 years experience as a PM in General Practice Management..

The successful candidate will be responsible for Practice Management of Medicus Health Partners at one of our branches in Enfield, North London.

Main duties of the job

Your main duties will be to effectively manage a Primary Care admin and clinical team in a General Practice setting, by keeping Patient and staff well-being at the core of your practice at all times.

Responding to the urgent clinical needs of a diverse population with the ability to work in pressured situations, the post requires someone with initiative and enthusiasm, excellent communication and administrative skills and empathy with patients.

Job Summary

Medicus Health Partners is an innovative Super Partnership in North East of Enfield. MHP comprise of 12 branched sites under one NHS contracts, delivering the best quality primary care to over 92,000 patients.

With guidance from a senior central team and cluster manager, each site has a dedicated administration team responsible for managing the patient experience and the day-to-day management of the service.

Employing nearly 250 staff in a variety of roles, our staff are our greatest asset. This includes reception and administration teams up to board members, senior managers, GP and business partners and an increasingly dynamic range of clinical roles, comprising GPs, Pharmacists, Nurses, Paramedics and Health Care Assistants.

The successful candidate will be required to:

Work primarily from one site to ensure the successful day to day running of the site

Support other sites in periods of site manager absence and annual leave

Manage services as required to meet all contractual, quality and safety expectations

Work closely with the cluster manager to ensure the delivery of Medicus business objectives

Be responsible for operational processes at each site

Ensure that CQC compliance is maintained, supported by the cluster manager

Ensure effective processing of all administrative work

Quality Assurance

Ensure that the services provided remain fit for purpose and deliver patient needs and expectations.

Monitor site quality performance and produce reports that provide assurance to the cluster manager that sites are performing adequately.

Advise on changes and their implementation and provide training to enable others to achieve quality services.

Feedback to the Managing Partner any ideas and innovations that could improve overall efficiencies for Medicus.

Responsibilities

Quality Assurance and CQC Compliance

Ensure systems are in place to improve quality of services provided i.e. QOF, Friends and Family tests, Patient Participation Groups

Ensure CQC standards are maintained, striving for outstanding ratings

Promote quality achievement and performance within the site.

Ensure any Medicus quality targets are achieved.

Ensure compliance with national standards and legislation.

Identifying relevant quality related training needs.

Maintaining or introducing any necessary controls and documentation.

Collating and analyzing performance data, including recommendations for any under-performance.

Lead meetings that involve staff from all levels to communicate and drive quality

Liaise proactively with patients and other relevant service providers to improve quality.

Liaise with other Medicus site managers within your cluster

Staff Management

Lead site team in partnership with the cluster manager to deliver the best standards of primary care.

Support the cluster manager with staff selection and recruitment for the sites.

Ensure site staff are appropriately trained and skilled and that mandatory training is up to date.

Manage site staff discipline or grievances, reporting weekly to the cluster manager.

Ensure site rotas are covered and staff shortfalls are managed in a cost effective manner

Ensure site staff are trained to perform tasks well and consistently

Ensure site staff are appraised annually, with personal development plans where necessary

Identify training needs of site staff and plan appropriately

Ensure site rotas are planned adequately in advance so that reception and administrative tasks are covered at all times

Identify and manage problems in staff performance and make appropriate records.

Monitor site lateness, sick leave and unauthorised absences and manage them in conjunction with the Medicus absence policy

To co-ordinate Practice Team Meetings in accordance with the agreed practice timetable

To attend site manager meetings lead by your cluster manager.

Administration

To enforce all Medicus standard operating policies and procedures

To participate in and lead site audits

To maintain reporting all accidents/untoward incidents promptly

To respond to and resolve patient queries and complaints in accordance with the Medicus complaints policy

To ensure knowledge of building facilities, including but not limited to

o Intruder alarms

o Fire alarms

o Health and safety

Arranging locum cover

Complaints

To follow the Medicus policy for handling complaints and to be the complaints lead within the appointed Medicus cluster

Finance

Maintain a local expenditure record, including incoming and outgoing petty cash

Ensure invoices are correctly processed to the central finance team

Ensure practice level completion and return of all national and local reporting requests.

To adhere to Medicus ordering and invoicing policy

IM&T

Ensure site meets statutory duties with regard to local GPIT and NHS compliance.

To be the site lead for IT and ensure that all staff are appropriately trained

To be fully competent in EMIS, DOCMAN, CQRS and other site specific IT systems

To maintain the integrity of the EMIS centralised database

To be responsible for all information flows as delegated by the cluster manager

Practice Development

Participate in the production of the practice development plan and the achievement of its objectives

Participate in monitoring performance and data collection as necessary

Participate and contribute in all enhanced services programmes

To represent the site at all cluster meetings as requested by the cluster manager or Medicus central team

Report immediately any potential risks to your cluster manager to ensure effective management

Record incidents and report to the cluster manager

Organise practice and primary health care team meetings on a regular basis

To disseminate information to staff and represent the views of the management team appropriately

To ensure that the work of the reception team complies with the practice Caldicott, security and governance policies

Premises

To co-ordinate quotes and submit to the cluster manager for approval
