Job summary

We are seeking an experienced manager with excellent interpersonal and communication skills who is interested in the success of the team as a whole, and pro-active in developing our systems and services to meet the requirements of, and take initiative within the ever-changing landscape of general practice.

You will work closely with our Operations Manager to support the day to day delivery of care, improvement of our services, and ensure the financial stability of the James Cochrane Practice.

You will have a wealth of experience in business management experience of NHS finances would be a distinct advantage. We have contracts for GP Extended Role Community Services you will be able to demonstrate your effective management of services and have a pro-active approach to ensuring that targets are met.

The nature of local General Practice means that a large amount of flexibility is required of everyone, and this role will not always be strictly 9-5, however our partners are committed to ensuring a good work / life balance for all our staff including our senior management team.

Main duties of the job

The Practice Business Manager, and the Practice Operations Manager, work in collaboration with each other and the Partnership Chair, and through them, the wider partnership.

The Practice Business Manager is responsible for the financial security of the practice and as such, will have an up-to-date knowledge of the day-to-day workings of the practice. They will be responsible for working with the practice teams to ensure the maximum possible achievement in QOF, QIS and IIF and will use available resources to plan & track achievement in these areas.

They are directly responsible for the oversight of all non-core enterprises including South Lakes Dermatology and South Lakes ENT liaising with the responsible partner and relevant clinical lead to ensure that these and any further services developed in the future are well supported, effective, and efficiently run.

Job description

Job responsibilities

The Practice Business manager is responsible for:

a. Working in collaboration with our Operations Manager

b. Managing the financial elements of the practice, including budgets, petty cash, etc. seeking to maximise income and reduce expenditure

c. Managing contracts for services i.e. cleaning, gardening, window cleaning etc.

d. Maintaining an effective liaison with the accountant, overseeing practice accounts, ensuring year-end figures are presented

e. Briefing partners on all financial matters, including attainment and forecasting

f. Managing and processing partners drawings, PAYE and pensions for practice staff

g. Ensuring the practice has appropriate insurance cover

h. Developing, implementing, and embedding an efficient business resilience plan (BRP)

i. Coordinating the reviewing and updating practice policies and procedures

j. Leading change and continuous improvement initiatives; coordinating projects within the practice that you are responsible for

k. Coordinating and leading the compilation of practice reports and the practice development plan (PDP)

l. Ensuring the team reach QOF targets (supported by the nursing and administrative leads)

m. Managing the procurement of practice equipment, supplies and services

n. Adopting a strategic approach to the management of all patient services matters

o. Developing, implementing, and embedding an effective communication strategy (internal and external)

p. Direct line management of the following staff: Finance Administrator, Complaints Administrator, Clinical Lead South Lakes Dermatology, Clinical Lead South Lakes ENT.

q. Managing the recruitment and retention of staff that support your role; develop, implement, and embed an effective succession plan

r. Ensuring the practice maintains compliance with its NHS contractual obligations

s. Actively encouraging and promoting the use of patient online services

t. Liaising at external meetings as required

u. Marketing the practice appropriately

v. The management of the premises, including health and safety aspects such as risk assessments and mandatory training
