Job summary
We are looking to appoint a Repeat Prescription Desk Administrator and a Team administrator to
join our busy GP practice. The successful person will be the focal point of communication
between the GPs, Pharmacists, and other clinicians as well as the receptionist,
practice manager, patients and local chemist, and other members of the primary
health care team, to ensure patients repeat medication is produced within the
current protocols of the surgery.
You will also provide general assistance to the practice team and
project a positive and friendly image to patients and other visitors, either in
person or via the telephone.
You will have excellent communication skills, a compassionate and
friendly nature who can operate in a busy environment with a range of people
and professions, as you will be working with our clinical and administration
teams.
Main duties of the job

To liaise with
patients and chemists regarding queries and requests and as part of any
required projects, collaborations or investigations.

To ensure repeat
medication is issued in line with the protocols that are already in place, and ensure
that any queries raised are dealt with quickly and correctly.

To ensure that
patient queries on medication are highlighted to the relevant GP

To regularly go
through prescriptions not picked up and unlikely to be picked up as a
result of the timescale, to remove the details from the patient records and
then destroy the prescription

Respond to
enquiries from patients, carers, secretaries, NHS administrators, Consultants
or Medicines Management Teams in a courteous, timely and efficient manner and making
precise
records of the communications

Provide an effective administration service
as part of the Practice team to ensure the smooth and uninterrupted service of
prescription support to clinicians

Run analysis
reports and gather data from a variety of sources for safe management of repeat
prescriptions, co-ordinate medication reviews/changes and continuous
improvement.

Liaise with
pharmacies on the supply of prescribed drugs, alert our clinicians of any
supply issues and forward information on the recommended alternatives

This job involves part Prescription Clerk and part Team Administrator. As a Prescription Clerk you will be required to:
- Process
repeat prescription requests received by phone, email, post, slips and
the online access system, in accordance with practice protocol
- Produce
prescriptions for the GP to sign in an acceptable timeframe
- Ensure
all prescription requests are processed and are ready for collection within a
48-hour timeframe
- Generate
requests for medication on behalf of the patient for non-repeat items
- Actively
encourage patients to reconcile medications to facilitate monthly collections
- Discuss
with patients their requirements, encouraging patients to order only what
they require
- Act
upon compliance issues, liaising with the appropriate clinician
- Ensure
medication reviews are arranged by maintaining an accurate recall system
- Effectively
liaise with external services, i.e., district nurses, to ensure medicaments
are arranged for housebound patients
- Input
data into the patients healthcare records as necessary
- Deal
with all prescription related enquiries in a timely manner
- Record
and report adverse effects accurately and appropriately, informing the
practice manager immediately
- Data
input onto Emis Web
- Carry
out system searches as requested
- Maintain
a clean, tidy, effective working area at all times
Other Duties:
- Process changes to
patient registration, deduction of record, and new patient registration
- Input data into the patients healthcare
records as necessary
- Answer incoming phone calls, transferring
calls or dealing with the callers requests appropriately
- Support all
clinical staff with general administrative tasks as requested
- Support reception staff, providing cover
during staff absences
