Job summary

Whitstable Medical Practice are looking for a Patient Registration Administrator to join our friendly team based at Whitstable Health Centre.

The hours of work will be 16 per week between the hours of Mondays 12-4, Tuesdays 12-4 and Fridays 8-4.

Main duties of the job

The Patient Registration Administrator is responsible for providing an efficient and effective Patient Registrations service for the Practice.

Whitstable Medical Practice is a forward thinking single practice Primary Care Network (PCN) GP Practice based across 3 sites in Whitstable. There are 29 equity partners and 6 salaried GPs looking after over 43,500 patients. We pride ourselves on our innovative approach to Primary Care. We are a training practice and run various in house contracts including Cataract surgery, Ultrasound, Dermatology, Physical Therapies and Audiology together with further community contracts, a Day Surgery Suite and an Urgent Treatment Centre with digital x-ray.

Job description

Job responsibilities

Core Responsibilities:

Handling of incoming reception telephone calls for the first half an hour of the morning.

Processing of incoming and outgoing medical records.

Digitalising patients paper notes and uploaded them to emis.

Resolving duplicate records.

Dealing with new NHS number assignment for adopted and transgender patients.

Redacting of adoption records.

End to end management of all new patient registrations including in and out of area and online registrations.

Dealing with associated registration processes including: permission to discuss records, carer, power of attorney.

Dealing with change of address requests.

Receiving and investigating correspondence which identifies a possible address change.

Receiving, dealing with and responding to all patient Online Access enquiries (including online access to detailed care record, proxy access and the NHS app)

Responding to patients who contact the Practice via social media.

Receiving and dealing with all enquiries sent to the generic Practice email address.

Processing of GP Links and associated electronic registration workflow.

Liaison with Primary Care Support England (PCSE)

Receiving and dealing with all enquiries via the patient portal.

Collation, preparation and circulation of practice list size data.

Dealing with system interchange errors.

Coding patients as deceased and processing deductions.

Processing Online Consultations when they arrive and allocating them to the appropriate sites.

Additional Responsibilities

Proactive campaign to collect and update patient mobile numbers and emails.

Proactive campaign to resolve all Patient Demographic Service (PDS) issues.

Updating of patient information materials, leaflets, website, social media

Promotion of out of area scheme.

Be familiar with Whitstable Medical Practice protocols and take part in their regular updating.

Other duties as per doctors instructions as dictated by changes in the nature of the Whitstable Medical Practice.

Essential

  • Minimum Grade C GCSE or equivalent in English Language and Maths or equivalent qualification
  • IT Literate able to use a variety of software packages

Desirable

  • Knowledge of EMIS

Skills and Abilities

  • Ability to communicate effectively with people at all levels by telephone, email and face to face.
  • Excellent organisation skills with the ability to work to tight deadlines.
  • Methodical and accurate approach to all work.

Experience

  • Previous experience of working in an administrative role.
