Job summary

Due to expansion, Whitstable Medical Practice is looking to recruit a Payroll and Bookkeeping Administrator to join the HR team.

Previous payroll or finance experience is required as well as the ability to input data accurately and quickly. The successful candidate must be used to working to tight deadlines and have also have excellent communication, organisation and IT skills.

We are looking for someone to work between 24 and 30 hours a week over 4 or 5 days. Salary will be dependent on experience. The NHS pension is offered.

Main duties of the job

The Payroll and Bookkeeping Administrator will be responsible for the administration of the monthly payroll from start to finish and for supporting the General Manager with the processing of all invoices. To act as the first point of contact for managers and all staff with payroll and pension related queries and to work as part of the Human Resources team in providing an effective and efficient service.

Job description

Job responsibilities

Responsibilities:

  • Be the first point of contact for our payroll outsourced company, Fairway Training, with any payroll and pension related queries
  • Be the first point of contact for all managers and staff with any payroll and pension related queries.
  • Update the monthly payroll spreadsheet on an ongoing basis with any changes that need to be made for staff (ie change of hours, hourly rates, bank details, pay adjustments)
  • Send out monthly reminders to all staff advising when payroll will be processed for that particular month.
  • Responsible for the monthly calculation of overtime holiday pay
  • Around the 12th of each month input all hours due for payment from the timesheets in the HR inbox onto the monthly spreadsheet
  • Record any sickness absence in monthly spreadsheet for Fairway to process for SSP purposes and advise when company sick pay needs to be deducted
  • Input all new joiner information and leaving information on to the online portal for Fairway to process
  • Uploading the monthly spreadsheet to the Fairway portal for them to process the monthly payroll
  • To check all payslips against the monthly payroll spreadsheet and highlight any errors or any further changes to Fairway Training before they finalise the monthly payroll
  • Monitor overtime payments and highlight any areas of concern to the HR Officer and/or General Manager
  • Check and send the monthly BACS report to the General Manager for the BACS to be paid
  • Organise and provide ad hoc payroll reports when requested
  • Liaise with Fairway Training regarding any matters in relation to the NHS pension Scheme.
  • Administer the NEST pension scheme
  • Support staff with any paperwork when they claim the benefit of their NHS pension
  • Process all invoices received by the Practice by inputting information into Quickbooks accounting software and preparing for payment.
  • Work closely with other HR team members and liaise where required.
  • Other duties as per doctors/management team instructions as dictated by changes in the nature of the Whitstable Medical Practice.
