Job summary
Rosegrove Surgery is a friendly practice serving approximately 5000 patients. An excellent opportunity has arisen for an enthusiastic and committed Receptionist to join our team.
The post is for 30 hours per week, working between 8:00am - 6:30pm Monday to Friday.
The successful candidate will be friendly,
confident, resilient, flexible, have well developed team work, communication,
organisational and customer service skills. Experience of working in a GP
Practice and using Emis Web would be desirable but not essential.

Main duties of the job
- Welcome and receive all patients and visitors to the Practice.
- Assist and direct patients to the appropriate healthcare professional/service.
- Process all requests for appointments, visits and telephone consultation/triage ensuring all calls are directed to the appropriate healthcare professional.
- Project a positive and friendly image to patients and visitors either in person or on the telephone.
- Complete new registration procedures and ensure accurate recording of details at all times.
- Receive and make telephone calls as required. Divert calls and take messages ensuring accuracy of detail and prompt appropriate delivery.
- Action repeat prescription requests.
- Provide test results to patients.
- Accept payment and issue receipts for private services.
- Facilitate effective communication between patients, staff, secondary care and other associated healthcare agencies.
- Act as a chaperone for general examinations if requested.
- Maintain a general overview of the reception area and take appropriate action to manage difficult/aggressive patient behaviour or those whose illness/condition worsens while waiting to be seen.

The following are the core responsibilities of the receptionist There may be, on occasion, a requirement to carry out other tasks; this will be dependent on factors such as workload and staffing levels:
- Process and effectively signpost patients to the appropriate healthcare professional depending on the presenting condition
- Answer incoming phone calls, transferring calls or dealing with the callers requests appropriately
- Process patient requests for appointments Provide an excellent standard of customer service on the reception desk
- Process repeat prescription requests
- Initiate contact with and respond to requests from patients, team members and external agencies
- Enter read-code data on EMIS Web
- Photocopy documentation as required
Data entry of new and temporary registrations and relevant patient information as required.
- Input data into the patients healthcare records as necessary
- Direct requests for information, e.g. SAR, insurance/solicitors letters and DVLA forms, to the administrative team
- Manage all queries as necessary in an efficient manner
- Maintain a clean, tidy, effective working area at all times
- Monitor and maintain the reception area and noticeboards
- Support all clinical staff with general tasks as requested
- Secondary responsibilities
In addition to the primary responsibilities, the Receptionist may be requested to:
- Participate in practice audit as directed by the audit lead
- Support administrative staff, providing cover during staff absences
- Scan patient-related documentation and attach scanned documents to patients healthcare records
- Complete opening and closing procedures in accordance with the duty rota
- As required, support the prescription clerks in the management of repeat prescriptions, ensuring that they are processed accurately and efficiently
