Job summary

Yarm Medical Practice cares for almost 16000 patients who live in and around the Georgian market town of Yarm. The practice has been graded as outstanding by the CQC. We are a friendly, patient focused practice whose priorities are patient care and creating an environment of clinical excellence. We are looking for a Reception Lead to ensure the smooth, efficient and safe running of the reception team and maintain a happy and committed team to deliver the best possible care for our patients.

Main duties of the job

To be responsible for the leadership and supervision of a team of receptionists, ensuring all reception duties are performed effectively and to the required standard, meeting the objectives of the practice. Support the management team in promoting ED&I, SHEF, Quality & CI, Confidentiality, Collaborative Working, Service Delivery, Learning and Development and carry out other duties as directed by the management team.

About us

Yarm Medical Practice comprises 5 partners , 2 salaried GPs and a variable number of GP registrars. We have 3 Nurse Practitioners , 3 Practice nurses and 3 HCAs. Recently we have taken on 2 Paramedics who are training to become advanced care practitioners . The practice is also supported by members of the PCN team including physiotherapy, a Pharmacist and mental health nurse. We are a friendly patient focused Practice whose priority is patient care . Job description

Job responsibilities

The following are the core responsibilities of the Reception Lead. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

The Reception Lead is responsible for supervising and supporting the reception team, ensuring they achieve their primary responsibilities:

a. Maintaining and monitoring the practice appointment system.

b. Process person, telephone, and e-requests for appointments.

c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately.

d. Signpost patients to the correct service.

e. Initiating contact with and responding to, requests from patients, team members and external agencies.

f. Read code data on Systm1.

g. Photocopy documentation as required.

h. Data entry of new and temporary registrations and relevant patient information as required.

i. Input data into the patient’s healthcare records as necessary.

j. Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team.

k. Manage all queries as necessary in an efficient manner.

l. Carry out system searches as requested.

m. Maintain a clean, tidy, effective working area always.

n. Monitor and maintain the reception area and notice boards.

o. Support all clinical staff with general tasks as requested.

Secondary Responsibilities

In addition to the primary responsibilities, the Reception Lead may be requested to:

a. Partake in audit as directed by the audit lead.

b. Providing reception staff to support administrative staff during periods of staff absence.

c. Produce, maintain, and participate in the receptionist rota for lunch and out of hours cover.

d. Support reception staff development, providing guidance and direction, ensuring staff are up to date with mandatory training.

e. Identify and provide team training where required.

f. Produce and monitor the reception duty rota, completing opening, and closing procedures in accordance practice policy.

g. As required provide support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently

h. Support the Practice Manager with patient related matters.

i. Support the health promotion lead and display promotional material on the allocated noticed boards and in the waiting room.
