Main duties of the job

The following are the core responsibilities of the Dispenser. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

  • To be responsible for checking all medicines dispensed, ensuring there are no discrepancies
  • Dispensing medicines to the appropriate patient population safely and accurately
  • Collecting prescription charges in accordance with dispensary protocol
  • Maintaining stock levels within the dispensary, liaising with the Dispensary Lead to facilitate reordering
  • Receiving and storing supplies in accordance with current policy, ensuring the cold chain is maintained where applicable
  • Ensuring controlled drugs are dispensed in accordance with practice policy
  • Ensuring safe disposal of returned and/or out of date medicines
  • Ensuring all repeat prescriptions are processed within the given timeframe
  • Providing patients with advice regarding all prescription matters
  • Processing prescription requests via email, phone, face-to-face and online
  • Processing Dossett boxes
  • Assisting the Dispensary Lead in the preparation of monthly returns
  • Always maintaining a clean and safe working environment
  • Always maintain accurate records, including appropriate coding entries

Moulton Medical Centre is situated between Holbeach and Spalding and patients who live in the villages between these two towns are welcome to register with us. We currently provide care to over 5400 patients.

Our Practice has a history of providing high quality patient care, QOF performance and a good CQC rating. Both our clinical and administrative teams work together as ONETEAM to provide our patients with the care and support they need at the right time.

JOB TITLE: Dispenser must hold NVQ Level 2 in Dispensing as a minimum

REPORTS TO: Practice Manager

RESPONSIBLE TO: Doctors

HOURS: 25- 30 hours per week

Job Purpose:

To provide an accurate, timely and pro-active dispensing service to the registered patients at Moulton Medical Centre. To ensure that all procedures and processes are carried out efficiently and safely against Practice SOPs and according to current legal requirements.

Job Responsibilities:

All the tasks required of a General Practice Dispenser as detailed below:

Dispensing

To dispense medication as stated on prescriptions, maintaining accurate dispensing records and ensuring that the medication is labelled with the correct drug name, strength, quantity, directions for use, patients name and includes any additional required information, using the DispenseIT labelling system.

To adhere to Practice policies and procedures for dispensing medicines, in particular those relating to expensive and controlled drugs.

Maintain minimum stock levels of medicines, checking expiry dates and storage conditions.

Place accurate and timely orders with suppliers, accept and unpack deliveries of medications.

Maintain dispensary equipment, ensuring it is clean, accurate and in a good state of repair.

Administration

Using the SystmOne clinical system, ensure all relevant information is recorded within individual patient records. Resolve computer problems when they arise by consultation with colleagues or SystmOne.

Endorse prescriptions accurately by checking prices with suppliers as necessary.

Ensure the safe disposal of returned and out of date medications.

Maintain and order stocks of dispensary and NHS stationery through Admin colleagues.

Issue paper prescriptions to non-dispensing patients.

Issue repeat prescriptions as requested by patients within the agreed time-scale.

Dispensary Reception ad-hoc/infrequent requirement

Ensure that the correct medication and prescription is given to the patient, confirming the details shown on the prescription form and the label and confirming the dosage instructions where appropriate.

Discuss and confirm with the patient that all appropriate medication investigations are up-to-date or have been arranged to be done.

Assist patients in accurately completing any exemption criteria on the reverse of the prescription form.

Advise patients about pre-payment certificates and how to apply for exemption certificates.

Collect prescription fees (NHS and private) from patients. Reconcile all monies received twice daily. Ensure adequate change if available.

Log patients arrival and book appointments.

Health and Safety

Adhere to all aspects of the Health and Safety at Work Act and Regulations and Control of Substances Hazardous to Health (COSHH) regulations, ensuring good hygiene, cleanliness and a safe environment in the dispensary.

Maintain the integrity and security of the dispensary by admitting only authorised personnel and ensuring all medicines are stored as appropriate.

Ensure the security and safety of medicines and colleagues through appropriate use of doors and ventilation.

Communication

Communicate effectively with patients, carers and suppliers and handle enquiries or problems appropriately, escalating areas of concern.

Communicate effectively and regularly with other members of the practice team to ensure the accurate exchange of information relating to patients and their medication.

Have the ability to build effective relationships throughout the organisation to inspire trust and confidence.

Ensure that all drug safety alerts and notices are acted upon, alerting other team members to issues of quality and risk.

Liaise regularly/as required with our Suppliers to ensure the best products at the best values are achieved at all times.

Work effectively with individuals in other agencies to meet our patients needs.

Stock Control/ordering

To ensure dispensary is stocked of both medicines and containers (ensuring Practice does not run out of required items) alerting the senior dispenser when appropriate.

Ensure stock rotation as appropriate/agreed.

Identify any date expired drugs and provide to senior dispenser as agreed.

Prescriptions

To ensure prescriptions are consistently provided to patients within the Practice agreed timescales.

To carry out regular checks of dispensed baskets, logging any errors.

Dispensary procedures and processes

To ensure you work within the Dispensary SOPs procedures at all times.

Fully observe legal requirements relevant to a Dispensing Practice.

Other

Contribute as required to the update of processes and procedures.

Ensure the cleanliness of the Dispensary area.

Make effective use of training to update knowledge and skills.

Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.
