Job summary

We are looking an Assistant Practice Manager to join our practice. The hours of work are Monday to Friday (37.5 hours per week). Worked between the core hours of 08:00 - 16:00.

Main duties of the job

Building and maintenance

Equipment maintenance and calibration

Staff and HR including recruitment & inductions

Appraisals & reviews.

Health and Safety

Managing of the Administration Team back office and support staff and systems

Technical infrastructure e.g. IT and telephone systems

Management of specific projects e.g. flu and covid vaccination program

Policies and Protocols

Ad hoc non-clinical issues, processes and responses

Practice rotas

Timesheets to implement and annual leave approval

Minute taking

About us

Market Rasen Surgery is a General Practice located in Market Rasen situated in a pretty, rural village, approximately 30 minutes from the city of Lincoln; providing quality primary healthcare services to 10,500 registered patients and the surrounding villages.

Services are provided from Monday to Friday with SystmOne as the clinical system. We are a supportive, experienced and friendly practice, committed to providing high quality patient care with a strong ethos on team working and integrated care.

Our clinical team consists of 2 GP partners, 7 Salaried GPs, 2 Nurse Practitioners, COPD/Asthma & diabetes Specialist Nurse, 3 Practice Nurses, Older Adults Nurse, Clinical Pharmacist, Musculoskeletal Service & X4 Healthcare Assistants. Who are all fully supported by an experienced reception, dispensary and administrative team.

Assistant to Practice Manager

The practice manager is seeking an assistant to work approximately 37.5 hours a week over 5 days per week. Their role will be to support the practice manager and could include any of the above but initially expected to help with the following.

Building

Building maintenance organising building repairs and maintenance, decorating projects, risk assessing rooms, making sure the surgery is kept tidy.

Health and Safety

Carry out risk assessments when appropriate.

Annual Health & Safety Check

COSH Risk Assessment

Organise PAT testing

Data Quality

To ensure all data entered to and retrieved from practice software systems is accurate, consistent and appropriate for the achievement of practice targets and to optimise patient care.

Monitor and ensure achievement of Quality and Outcome (QOF) and Investment and Impact Fund (IIF)

To run reports and analyse data

To put on the practice rotas

The candidate must have

An ability and willingness to take the initiative and use own judgement, resourcefulness

Recognition of and adherence to the needs of confidentiality in all aspects of work

Good written and verbal communication skills

Good computer skills

Attention to detail and accuracy in recording data

Good organisational skills

Ability to work under pressure

IT & Telephones

First point of call with any IT, software or telephone problems.

Liaising with IT support in order to fix any problems

Resetting of staff passwords on IT systems

Setting up of new staff on systems, e.g. computer log in, SystmOne, email accounts, WebV, Bluestream Academy and the Care Portal

Clinical searches on our clinical system (SystmOne)

Back Office Functions

Although not part of main job function, it may be necessary for the assistant to practice manager to provide emergency cover in the following back-office administration areas

Scanning

Insurance

Policies and Protocols

Help PM with policies and protocols in particular those involved with building, equipment, IT and health and safety.

Confidentiality

Make sure that the practice stays confidentiality compliant.
