Job summary

We are looking for two reception/administrative staff to join our team at Church View Surgery. We would like to employ somebody reliable, who has a positive attitude, good IT skills and customer service experience. Our ideal candidate will have experience in general practice, but we are very happy to offer training to people who are keen to move into this field.

Our reception team are everybody's first contact with the practice, and it's incredibly important to us that we have the right people for these posts. We offer regular shifts in sociable hours (week days, 8-6.30 pm), access to the NHS Pension scheme, and a generous holiday allowance. You will be joining a proactive team who really make a difference to people's lives on a day-to-day basis. The work is challenging, fast paced but very varied, and there will aways be a team around you to support you if you need it. We are keen to develop our staff and to help them build their skills, so once you have learned the basics, there will be opportunities for advancement.

Main duties of the job

Main Duties of the role:

- Greet patients and visitors in a professional and friendly manner

- Answer phone calls, schedule appointments, and manage the appointment calendar

- Verify patient information, insurance coverage, and collect payments

- Maintain patient records and update necessary information

- Assist with patient check-in and check-out processes

- Coordinate with medical staff to ensure smooth patient flow

- Handle incoming and outgoing mail, scan as appropriate

- Maintain cleanliness and organisation of the reception area

Experience:

- Previous experience as a Medical Receptionist or in a similar administrative role is preferred

- Proficient in using office equipment such as computers and printers.

- Strong knowledge of medical terminology and procedures is a plus

- Excellent organisational skills with the ability to prioritise tasks effectively

- Exceptional communication skills, both verbal and written

- Ability to maintain confidentiality of patient information

About us

We are a large GP practice on the outskirts of Plymouth caring for 12,200 patients.

We offer same day appointments and encourage patients to complete a form through our online portal Anima. This ensures that the patient gets the right care, at the right time, with the right clinician, first time. Reception play a key role in ensuring that patients can fill in these forms or complete this on their behalf as necessary.

Job summary:

Receive, assist and direct patients in accessing the appropriate Practice clinical services / healthcare professional in a professional, courteous, efficient and effective way.

Provide general assistance to the Practice team, both clinical and non-clinical colleagues and project a positive, friendly and respectful image to patients and other visitors, either in person or via the telephone.

To act as first point of contact for anyone accessing the practice.

Job responsibilities:

Administration
  • To have a thorough working knowledge of all practice clinical and administrative procedures.
  • To work in accordance of written practice & reception protocols.
  • Filing post electrically in medical records as and when necessary
  • Scan paperwork onto clinical system and workflow to appropriate person
  • Registering new patients following registration protocol.
Reception
  • To ensure that all visitors and telephone callers to the practice are greeted professionally.
  • To ensure that all telephone calls are managed appropriately.
  • Administering / handing requests for patient prescriptions, ensuring the required checks are undertaken at that time.
  • Be able to cover all other receptionists generic administrative duties and responsibilities in times of staff absences / sickness.
  • Undertake the administration and printing of patient prescription requests as per GP / Reception protocols.
  • Receiving specimens from patients ensuring all their details have been recorded and appropriate follow up timescales advised.
  • Tidying waiting room after surgery, ensuring premises are kept tidy between visits from the cleaning staff, tidy and sort magazines and leaflets, discarding old and damaged items as necessary.
Appointments
  • Be efficient in the day to day processing of patient appointment requests by telephone and in person.
  • Have an in-depth working knowledge of the SystmOne appointment module and adhere to the agreed bookings protocols.
  • Be able to competently use Anima - our electronic booking portal
  • Liaise closely with the District Nurse / Multi-disciplinary support services teams and have a working knowledge of their procedures and lines of communication.
Practice Computer System
  • Have a working knowledge of the Registrations procedures for new patients computer data entry and medical records.
  • Process patients change of address / Personal details computer data and medical records in accordance with the current Practice catchment area arrangements.
  • Have a working knowledge of processing patient repeat prescription requests in accordance with practice prescribing guidelines.
Telephone
  • Have a full working knowledge of the practice telephone system.
Other Tasks
  • Ensure reception is a safe and professional environment to work in and maintained at a professional standard.
  • Ensure building security have thorough knowledge of doors/windows/alarm systems.
  • Ensure that information notice boards are up to date with current information and presentable at all times and as directed by the Senior Reception Manager.
  • Attend all compulsory training / update training events.
  • Any other tasks as deemed necessary / allocated by the Senior Reception Manager.
