Job summary

We have an exciting new opportunity for a well-organized and efficient administrator to join our team as a HR Administrator, 37hrs per week Monday to Friday.

This is new position will work alongside our team managers/leads, support our Senior Management Team, specifically our Practice Director and our GP Partners.

Main duties of the job

The successful candidate will be a key part of our team, providing HR support to all employees at all levels, within Ash Trees Surgery. This role provides a fantastic opportunity for someone who has a passion for HR, using their skills and knowledge to contribute to the smooth operation of our HR processes.

Supervision, training, coaching and guidance will be provided in all tasks until a required level of competency and confidence has been achieved. Training will involve working alongside the Senior Management Team, providing administrative support, all aspects of recruitment and dealing with internal queries.

Job responsibilities

Job Summary

  • Act as first point of contact in responding to HR queries, providing advice and guidance to managers within scope of knowledge to enable them to manage their teams effectively and efficiently
  • Resolve queries regarding leave entitlements, sickness, and vacancies
  • Provide support for the day-to-day management of the HR function
  • Responsible for the management and administration of the digital HR system (Atlas), providing training and instruction for users and entering data.
  • Manage the administration processes of the employee life cycle e.g. writing advert, posting and advertising, supporting shortlisting and invites to interview, interview process, on-boarding (new starter paperwork, DBS etc) and managing leavers.
  • Work with the Senior Management Team to ensure HR processes and policies are of an excellent standard, streamlined, standardised and implemented across the organization, conducting regular reviews, ensuring CQC compliance
  • Delegated responsibility for managing and submitting timely and accurate workforce data to external sources as required (e.g. NHSE workforce data submission)
  • Liaise with Finance Manager to ensure payroll runs smoothly and accurately reflects attendance/ absence records
  • Provide administrative support for HR meetings including any disciplinary or grievance meetings (arranging meetings, taking minutes)
  • Support the team managers/leads in ensuring they are adequately trained and have the resources to deliver
  • In association with the Senior Management Team, plan the use of PLT sessions for training of non-clinical staff in a timely manner
  • Undertake return to work interviews alongside team leads/managers as required
  • Work with team leads/managers to ensure a schedule of annual appraisals is created and that appraisals are undertaken
  • Support data collection and analysis e.g. all staff surveys
  • Ensuring all urgent and/or confidential communication received is distributed to relevant parties in a timely manner
  • Input, monitor and check data using spreadsheets and internal systems to provide workforce reports and management information as required
  • Liaise with external agencies e.g. training providers, local colleges, universities, NHS Jobs as required
  • Support the delivery of estates projects working alongside our Patient Experience Manager
  • Participate in learning, training and development, as required
