Job summary

Hazelwood Group Practice is looking for a new Administration Manager in the running of the admin office and to support the Practice Manager with general duties.

With a proven track record of managing an office and experience of General Practice you will be welcomed to a friendly and efficient team at Hazelwood Group Practice. We are a 4 partner, 10500 patient, training practice with lots of experienced staff to help and support you in your new role. Based in the rural community of Coleshill with lots of local amenities and close to all major motorways.

We are part of a 6 practice PCN with lots of supporting staff and initiatives ongoing.

Main duties of the job

Main duties will be to support the Practice Manager in the effective running of the practice and managing the admin office.

1. Job Role & Purpose

Under the supervision of the Practice Manager, the primary purpose of the role is to lead, develop and manage the following services, to ensure that we deliver excellent services and care for our patients.

2. Key Duties & Responsibilities

To lead, support and manage key administrative services in the Practice.

To lead, support and manage staff actively to ensure compliance with objectives and deliver optimum performance.

To be comfortable and confident in managing people.

To provide a performance environment in which our staff are challenged and can thrive.

To ensure that all administrative services are delivered competently to high standards and within agreed timescales.

To encourage and develop collaborative relationships with all staff across the group for the benefit of the patient.

To proactively utilise management information to identify gaps in service delivery process and customer service.

To meet defined service targets and deliver continuous improvements in patient satisfaction.

To review and feedback results from patient survey and make recommendations for areas of improvement.

To create and present reports to the Practcice Manager as required.

To manage all services and staff allocated to the post holder.

To ensure the team is using efficient process and follow practice protocols.

Any other duties required in line with this Job Description, as advised by the Practice Manager.

The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice health & safety policy, the health & safety manual, and the practice infection control policy and published procedures. This will include:

Using personal security systems within the workplace according to practice guidelines.

Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks.

Making effective use of training to update knowledge and skills.

Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.

Active reporting of health and safety hazards and infection hazards immediately when recognised.

Keeping own work areas generally clean and assisting the Practice Manager in the maintenance of general standards of cleanliness consistent with the scope of their role.

Undertaking periodic infection control training (minimum annually).
