Job summary

The main responsibility of this role is to ensure that all patients receive an efficient, helpful and professional service from the Practice. It is essential that all duties are undertaken with courtesy within a team environment; and that standards of confidentiality and information governance requirements are maintained

Main duties of the job

Patients

Welcoming patients at the Reception desk

Ensuring all patient arrivals for appointments for surgeries and clinics are managed effectively

Directing patients to GPs and Nurses for appointments as required

Booking Appointments for surgeries and clinics

Dealing with enquiries, in person or by telephone if required

Ensuring patients receive any prescriptions at reception efficiently and in confidence

Accepting pathology samples for transport to the lab

Business

This role is seen as the “face” of the Practice for both patients and other visitors and is therefore required to promote the services of Peel GPs in a professional manner

Telephone System

Deal with requests for home visits ensuring these are relayed to the GP as per policy

Accept and process requests for prescriptions e.g. via the telephone, email , post and the prescription basket

Ensure telephone system is in the correctly operating to maintain patient services

Deal with other enquiries efficiently

Communication and Information

Daily use of the clinical software system VISION

We are a 10,500 patient practice in the middle of Bury town centre with 6 GPs, 2 Practice Nurses with a supporting team.  We are a proactive, patient centred & friendly team, who work in a very busy environment & endevour to ensure our patients' experiences are always positive.

Salary Depending on relevant experience & qualifications

Hours of work: Weekly rota basis in line with Practice business hours

  • Days of work: Monday – Friday
  • Hours of work: As per Rota, but starting times of 07:50 and finishing times of 18:30

Reception Waiting Area and Reception Desk

Ensure the areas are kept tidy and well presented

Ensure that key information (for example opening times and medical student notices etc.) are clearly visible and up-to-date

Tidy and dispose of old or torn magazines and newspapers

Ensure that the leaflet rack is reviewed on a daily basis so that mandatory information is for patients is available

Telephone System

Deal with requests for home visits ensuring these are relayed to the GP as per policy

Accept and process requests for prescriptions e.g. via the telephone, email , post and the prescription basket

Ensure telephone system is in the correctly operating to maintain patient services

Deal with other enquiries efficiently

Communication and Information

Process messages in a timely and accurate manner as per policy

Prepare data for entering on computer

Participate in audits as required

Liaise with other health care professionals and agencies as required

Participate in Practice learning sessions

Attend meetings e.g. staff, I.T team and patient participation group

Work as a member of the wider Practice team, supporting an environment of engagement and goodwill

Promote and represent Peel GPs at meetings and visits in a professional manner

Patients entrust us with and allow us to gather sensitive information in relation to their health and social well being. They do so in confidence and have the right to expect that staff will respect their confidentiality and act appropriately.

  • In the performance of the duties and responsibilities outlined in this job description, the post-holder will have access to confidential information relating to patients and their carers/family members, Practice staff, other healthcare workers, the NHS and Peel GPs.
  • The post-holder will have access, either written or verbal, to business sensitive information. All information is to be regarded as strictly confidential. Information may only be divulged to authorized persons in accordance with Practice policies and procedures relating to confidentiality, NHS Code of Practice and the Data Protection Act or any other statute

General Housekeeping

Prepare clinical rooms for surgery

Ensure GP surgeries are adequately stocked with stationery, specimen bottles and lab forms

Assist in the accurate stock control of stationery

Maintain medical records to a high standard

Retrieve and file medical records as required

Participate in the Practice annual appraisal and performance review process

Attend and comply with all Health & Safety training and regulations

Attend resuscitation training

Staff are required to undertake appropriate training , mandatory and developmental, as requested. They are also required to cover duties of colleagues during periods of absence.
