Job summary

We are looking for four GP Receptionists/Administrator to join our warm and friendly team. An ideal candidate will be a reliable, flexible, enthusiastic individual with fantastic customer service skills, a good understanding of EMIS WEB and ability to provide reception/admin support in a fast-paced working environment. They must have:

a great patient experience and good skills to be able to provide solid support to our clinical team.

excellent organisational skills, be a good verbal and written communicator and be familiar with working in a healthcare environment.

a good telephone manner and attention to detail are also important factors for this role.

Main duties of the job

Your main priority is to answer the surgery telephones and cover the surgery reception desk, as well as administrative tasks of registrations, referrals, prescriptions, tasks and scanning.

You must be flexible to cover annual leave of other receptionists.

Job description

Job responsibilities

To greet patients in a professional, friendly and courteous manner at all times

To answer telephone calls in a polite and professional manner

To make appointments for the various clinicians using the Practice clinical information system

Registration of new patients

Triage Patients appropriately

To monitor stock quantity on a monthly basis

To monitor the expiration of any stock

To take logs of essential appliances in accordance with the schedule

Scanning of patient related documentation and attaching scanned documents to patients healthcare records

To locate relevant information for patients (test results, letters, forms etc) and direct their queries to the appropriate staff member.

Answering patient queries regarding various Practice policies and initiatives

To listen to patient complaints, making sure that they are addressed and dealt with appropriately

To process all hospital correspondence accurately in line with practice policies

Process repeat prescriptions as per the Practice policy

To cover duties for other members of staff, this may arise in the case of absence, sickness and holidays

Chaperone GP if required, following training

Shared responsibility for reception, waiting rooms and consulting rooms upkeep and tidiness including leaflets and posters

To ensure that strict confidentiality protocols are adhered to

Attend and contribute to staff meetings

Promote, encourage and activate patient on-line access

Ensure relevant/appropriate contacts with patients are documented in notes

Ensure email, tasks and EMIS email are checked and processed daily.

You must be able to cope with difficult patients in an efficient manner while still maintaining a high level of professionalism
