Job summary

We are looking for Medical Receptionists to work with us to provide excellent patient care. Although we prefer if the candidate has previous experience in a practice environment, we encourage individuals who are keen to work in a healthcare administrative setting and strive to deliver a high standard of service to patients and the public in courteous and confidential manner. The role involves various tasks such as dealing with patient phone calls and queries as well as booking appointments. The role is varied, and no two days are the same. Anyone who is seeking to either advance or start their career in a GP surgery and gain hands-on experience in a supportive workplace is encouraged to apply. The role has become available due to internal promotion.

Job Title: Medical Receptionist

Responsible to: Practice Manager

Salary: negotiable

Hours of work:

25 Hours per week, we can consider candidates who wish to offer between 20-25 hours per week.

To be available from 08.30 to 18.30 over a five or four day working week (negotiable).

Job responsibilities

To perform a range of administrative and reception tasks in order to support the practice's seamless operation and deliver quality receptionist service to patients, physicians, nurses, and other team members.

Reception Duties:

  • Greeting and receiving patients, caregivers, and visitors.
  • Check in patients upon arrival using the practice computer system (EMIS) or instruct them to self-check in.
  • Handle incoming inquiries, such as requests for blood forms or private letters.
  • Effectively inform and assist patients with the registration process.
  • Use the practice computer system to process patient appointment requests for today and future appointments.
  • Handing out completed repeat prescriptions to patients while accurately recording the process.
  • Accept pathology samples for transport to the lab.
  • Accept payments from patients for private services and follow the practice procedure to ensure that they are recorded and stored correctly.
  • Oversee the reception and waiting areas to ensure the comfort of all patients.
  • Keep the reception and waiting areas tidy.

Tasks:

  • Processing messages through electronic messaging systems such as Docman, Emis, email, and eConsult.
  • Maintain awareness of the rota for dealing with tasks on a daily basis.
  • Check and respond to all incoming electronic requests using the practice messaging systems listed above, in accordance with practice procedure.
  • Manage any requests from the doctors via the electronic EMIS task list.

Prescriptions:

  • Process repeat prescription requests in line with practice guidelines.
  • To collect and process repeat prescription requests via prescriptions box, and online.
  • To communicate with patients, community pharmacists, surgery pharmacists, and clinicians about questions and requests.
  • To ensure that repeat medication is issued in accordance with practice protocols, and that any questions raised are addressed promptly and correctly.
  • To ensure that patients' medication-related questions are directed to the Surgery Pharmacist or the appropriate GP.

Scanning and coding duties:

  • Scan patient-related documents onto medical records.
  • Include additional information about document source.
  • Store internal paper documents in line with practice procedures.
  • Attend Monthly meetings for changes, audits, feedback, and concerns.

Other Tasks:

  • Attend and participate in training sessions, in house, external and online as required.
  • Ensure building security via a thorough understanding of doors, windows, and alarms.
  • Complete duties listed on the morning and evening rotas.
  • Any other duties that may be deemed appropriate for the role.
  • Assist in providing holiday/sickness cover for absent receptionists, subject to availability.
