Job summary

Ty'r Felin Surgery are seeking a part time medical receptionist to work in a busy GP Surgery based in Gorseinon, Swansea. The post is for 30 hours per week, Monday to Friday on a rota between the hours of 7.45am and 6.30pm.

Applicants must be willing to work flexible hours and to cover staff holidays. We are looking for candidates who are professional, friendly, have a good telephone manner and take pride in their work. You will be the first point of contact for the patients in our surgery and need to make a good lasting impression. You must have excellent computer skills. Full training will be provided on our Vision clinical system.

Interviews are planned for Friday 27th November 2020. Invitations will be emailed to those who are short listed on Monday 23rd November 2020.

Main duties of the job

Your primary job duties will include greeting and checking in patients, answering questions, processing paperwork and prescription requests, and scheduling appointments. You will also help keep our records and work areas clean and organized, as well as ensure our office provides a welcoming environment for our patients.

Medical Receptionist Duties and Responsibilities

  • Greet patients and other visitors when they arrive
  • Book appointments
  • Answer patient questions and provide assistance when necessary
  • Distribute forms and paperwork to patients and check them over to ensure that required fields are completed properly
  • Process prescriptions
  • Field phone calls and respond to emails
  • Manage inventory of necessary office supplies and coordinate reordering
  • Ensure Confidentiality at all times

About us

Our friendly team at Ty'r Felin Surgery consists of 9 GP's, 3 nurses, 1 Healthcare Support Worker and 14 Reception/managerial staff.

Our current list size is 11,000 patients.

The ideal candidate needs to be well-motivated and efficient; will possess good people skills and enjoy working in a busy environment. They must be able to communicate clearly and effectively and have the ability to work well within a determined team.

Job purposeTo provide an efficient, friendly and confidential reception and administration service to staff and patients of Tr Felin Surgery.

Main Responsibilities

Dealing with patients and relatives, over the telephone and face to face, in a courteous and professional manner. Arranging appointments for patients using the electronic booking system. Processing repeat prescription requests within the required 48 hours. Administration of medical reports and patient-related correspondence; data input via read-codes; summarising of new patient notes. To deal with routine queries from patients, and to direct patients to other appropriate sources of information and assistance. To scan and file hard copy documentation related to patient notes correctly and promptly. To help ensure that the reception area is clean, tidy and well-maintained. Ensuring that confidentiality is observed at all times.

Additional responsibilities

In addition to their Main Responsibilities, the Receptionist would also be expected to carry out the following duties: To carry out any other reception/admin duties, within reason, requested of them by the Practice Manager, Partners or nurse. Will be expected to provide cover for other Reception / Admin staff during times of sickness or annual leave. To have concern for their own and their colleagues health and safety at all times and to inform the Health and Safety Officer of any concerns.
