Job summary

We are looking to recruit two enthusiastic administrators to create a new eHub team.

The role of the eHub administrator is to undertake a wide range of administrative duties to aid in the management of all incoming online consultations using eConsult.

Main duties of the job

Excellent IT skills are essential along with good communication and the ability to work under pressure.

Ability to work in a systemised, process driven way, handling and managing high volumes of tasks and information.

Ammonite Health Partnership is a partnership between 2 rural GP Practices; Tollerford Practice & Bridport Medical Centre,with in excess of 24,000 registered patients serving all of Bridport, Maiden Newton and Beaminster and their surrounding villages.

Job responsibilities

Primary responsibilities

The following are the core responsibilities of the eHub Administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

Workflow eConsults into patient records on SystmOne

Ensure all eConsults are reviewed and processed eConsults within the specified timeframe

Actively call patients to resolve relevant admin requests

Redirect eConsults to relevant teams

Contact patients by SMS, phone, email, to update them on their eConsult

Maintain records of all activities carried out, i.e. eConsults received, coding of outcomes and other relevant fields in the SystmOne template.

Maintain and develop effective communication across the team

Proactively engage in development of the eHub

Carry out system searches as requested

Other administrative tasks as required

Induction training

On arrival at the practice all personnel are to complete a practice induction programme; this is managed by the Deputy Practice Manager.

Learning and development

The effective use of training and development is fundamental in ensuring that all staff are equipped with the appropriate skills, knowledge, attitude and competencies to perform their role. All staff will be required to participate in and complete mandatory training as directed by the training coordinator, as well as participating in the practices training programme. Staff will also be permitted (subject to approval) to undertake external training courses which will enhance their knowledge and skills, progress their career and ultimately enable them to improve processes and service delivery.

Collaborative working

All staff are to recognise the significance of collaborative working. Teamwork is essential in multidisciplinary environments. Effective communication is essential, and all staff must ensure they communicate in a way that enables the sharing of information in an appropriate manner.

Service delivery

Staff at Ammonite Healthcare Partnership must adhere to the information contained within practice policies and regional directives, ensuring protocols are adhered to at all times. Staff will be given detailed information during the induction process regarding policy and procedure.

Security

The security of the practice is the responsibility of all personnel. Staff must ensure they remain vigilant at all times and report any suspicious activity immediately to their line manager. Under no circumstances are staff to share the codes for the door locks with anyone and are to ensure that restricted areas remain effectively secured.
