Job
summary:
To offer ancillary support to doctors, patients and associated
agencies in a professional and courteous manner.
Job
responsibilities:
Answer
telephone and deal with or redirect enquiries, make new and follow up
appointments.
Ensure that
patients without appointments but who need urgent consultation are seen
in a logical and non-disruptive manner inline with the practice policy.
Explain
practice policy, and formal requirements to new and temporary patients.
Ensuring procedures are completed.
Advise
patients of relevant charges for private services and issue receipts for
requesting of a service.
Record
requests for home visits and collate all information for the visiting clinician,
contact duty doctor with late calls.
Process
patient requests for prescriptions.
Dealing with queries by sending to the appropriate clinician.
Update
computer daily and maintain medical records.
Process and record
information from correspondence into the practice to the correct patient.
Use the correct
technology/procedure to file medical records, hospital reports and
letters.
Leave reception
area tidy and ready for incoming colleagues. Liaise information regarding unsolved or
urgent problems.
Ambulance
request at GP request.
Dealing
with walk in emergency patients.
Panic
alarm situations.
Taking
of paperwork over the reception desk and collecting payment.
Handing
out keys for room booking.
Processing
post, both internal and external to all departments.
Restocking
of paperwork in GP rooms.
Daily
emptying of the shredding in all clinical rooms.
Photocopying
of reception paperwork such as appointment slips, travel forms, new
patient forms etc.
General
reception duties such as dealing with requests from other services within
the building.
Be flexible
with hours to help cover staff shortages.
Such other
duties as agreed with the team leader, Practice Manager or GP Partner.
Confidentiality:
In the course
of seeking treatment, patients entrust us with, or allow us to gather,
sensitive information in relation to their health and other matters. They do so in confidence and have the right
to expect that staff will respect their privacy and act appropriately.
In the
performance of the duties outlined in this job description, the post-holder
may have access to confidential information relating to patients and their
carers, practice staff and other healthcare workers. They may also have access to information
relating to the practice as a business organisation. All such information from any source is
to be regarded as strictly confidential.
Information
relating to patients, carers, colleagues, other healthcare workers or the
business of the practice may only be divulged to authorised persons in
accordance with the practice policies and procedures relating to
confidentiality and the protection of personal and sensitive data.
Health
& safety:
The post-holder will assist in promoting and maintaining
their own and others health, safety and security as defined in the practice
Health & Safety policy and manual, the practice Infection Control policy
and published procedures. This will include:
Using personal
security systems within the workplace according to practice guidelines.
Identifying
the risks involved in work activities and undertaking such activities in a
way that manages those risks.
Making
effective use of training to update knowledge and skills.
Using
appropriate infection control procedures, maintaining work areas in a tidy
and safe way and free from hazards.
Actively
reporting of health and safety hazards and infection hazards immediately
when recognized.
Keeping own
work areas and general / patient areas generally clean, assisting in the
maintenance of general standards of cleanliness consistent with the scope
of the job holders role.
Undertaking
periodic infection control training (minimum annually).
Reporting
potential risks identified.
Demonstrate
due regard for safeguarding and promoting the welfare of children and
vulnerable adults.
