Medical Secretary/Workflow Administrator

Job summary

We are seeking a dedicated, hard-working, detail-oriented individual to join our Practice team in a dual role as Medical Secretary/ Workflow administrator. The ideal candidate will play a crucial role in supporting our clinical team with onward referrals and administrative support.

As part of our dedicated team, you will play a vital role in ensuring the smooth day-to-day running of the Practice and supporting our clinicians in delivering outstanding patient care. Our skilled clinical and administrative teams work together to deliver accessible, compassionate and efficient healthcare within a supportive environment.

Main duties of the job

Producing, typing, and sending patient referrals, letters and clinical reports to secondary care, private healthcare and the community in an accurate and timely manner. Audio typing from the digital dictation system for GPs is also required.

Handling enquiries from patients, staff, internal and external medical professionals.

Processing tasks and Footfall requests.

Monitoring the eRS (electronic referral system) Worklist for advice and guidance response, rejections and redirections and deal with all related queries from patients and hospitals.

Coordinate with hospital departments to ensure timely handling of urgent or missing results.

Receiving and responding to emails.

Actioning letters in Workflow.

Invoicing.

Processing rejected referrals.

Complete medical examiner referrals and Coroner reports as necessary.

Collaborate with the primary healthcare team to provide necessary administrative support.

Triaging letters.

Understanding of the structured, digitalised, multiple referral pathways.

Scanning into Workflow.

Update medical records as required and be able to read and add codes as needed, including processing coding in Workflow.

Creating Workflow templates.

Highlighting safeguarding and liaising with the clinical and non-clinical safeguarding leads.

Processing Practice emails into patient records.
